About The Position

We are seeking a full-time Admissions Coordinator to serve as a critical first point of contact for prospective clients and families. This role blends relationship-driven admissions work with operational excellence, requiring empathy, professionalism, and strong attention to detail. You’ll work collaboratively across departments to ensure a seamless, supportive admissions experience from first call to intake.

Requirements

  • High School Diploma required; Bachelor’s degree preferred
  • 1+ year of experience in behavioral health admissions strongly preferred
  • 1–2 years of experience in transactional or relationship-based sales (not customer service)
  • At least 6 months of experience in mental health, addiction, or psychiatric treatment preferred
  • Working knowledge of addiction treatment and recovery principles
  • Strong verbal and written communication skills
  • Excellent multitasking, time management, and organizational abilities
  • Proficiency in Microsoft Office, Google Workspace, and client management systems
  • Ability to work overtime, weekends, holidays, and flexible hours as needed
  • Strong problem-solving and crisis management skills
  • Valid California Driver’s License required
  • Must pass a LiveScan criminal background check as required by licensing authorities
  • CPR & First Aid Certification required

Responsibilities

  • Establish rapport and trust with prospective clients and families using appropriate communication and bonding techniques
  • Conduct initial screenings to assess program fit, eligibility, and payment options (private pay or insurance)
  • Follow established call flow processes while accurately capturing all required inquiry and client information
  • Maintain consistent communication with clients, families, referral sources, and facility staff throughout the admissions process
  • Guide prospective clients to the highest level of qualification while maintaining empathy, professionalism, and ethical standards
  • Collaborate with Utilization Review, Billing, Clinical, and Operations teams to facilitate smooth admissions
  • Utilize team resources and problem-solving strategies to overcome barriers to admission
  • Meet or exceed established monthly admissions and inquiry performance goals
  • Accurately document all client interactions and admissions data in accordance with company standards
  • Ensure admissions practices comply with facility policies and applicable state and federal regulations
  • Handle sensitive and confidential information in compliance with HIPAA and company confidentiality policies
  • Support post-admission coordination by collecting required billing and utilization review documentation
  • Demonstrate initiative in operational improvement, communication, and problem-solving
  • Build and maintain trust-based relationships with clients, families, and referral partners
  • Work collaboratively across departments to ensure seamless client transitions into treatment
  • Represent Alter Behavioral Health with professionalism, empathy, and integrity in all interactions
  • Maintain open communication with supervisors and team members regarding admissions progress, challenges, and outcomes
