About The Position

The admissions process is the first step in a patient’s recovery journey—and you can make that step seamless, supportive, and impactful. As an Admissions Coordinator at Recovery Centers of America (RCA), you will guide patients, families, and referral sources through the intake process with compassion and clinical insight. Your work ensures that every patient arrives safely, receives the correct level of care, and feels welcomed and informed from the moment they walk through our doors. By coordinating clinical, medical, and financial needs at intake, you play a crucial role in connecting patients to the treatment they need—and supporting RCA’s mission to save one million lives.

Requirements

  • Bachelor’s degree in Psychology or a related field; OR
  • Associate degree with at least 1 year of relevant experience; OR
  • High school diploma with at least 2 years of experience in admissions or a related role.
  • Experience in behavioral health or substance use treatment admissions strongly preferred.
  • Working knowledge of HIPAA standards and confidentiality practices.
  • Proficiency in Microsoft Office and comfort using electronic health record (EHR) systems.
  • Strong verbal and written communication skills, including the ability to gather sensitive clinical information with empathy.
  • Excellent interpersonal skills and the ability to build rapport quickly with patients, families, and referral partners.
  • Strong decision-making skills, using available information to determine appropriate care pathways.
  • Outstanding customer service mindset with the ability to de-escalate, support, and guide individuals in crisis.
  • High attention to detail, accuracy, and the ability to thrive in a fast-paced environment.
  • Strong organization, time management, and multitasking abilities.

Responsibilities

  • Provide comprehensive orientation to patients upon admission, ensuring all required documentation and electronic intake data are completed accurately.
  • Verify financial eligibility and ensure all financial setup processes are completed prior to program entry.
  • Respond promptly to patient needs, maintain departmental records, and ensure fair and efficient distribution of patients to physicians.
  • Complete telephone and in-person pre-admission assessments, gathering clinical, medical, and psychosocial information.
  • Serve as a primary point of contact for referral sources, potential patients, and families—coordinating the referral and intake process from first call through admission.
  • Determine appropriate levels of care based on assessment criteria and communicate recommendations clearly.
  • Maintain frequent communication with referral partners, families, patients, and treatment teams to support continuity of care.
  • Collect and analyze departmental data related to admissions performance indicators.
  • Conduct admission searches, safety searches, and assist with securing and inventorying patient belongings.
  • Support counselors and senior program staff in crisis intervention situations as needed.
  • Contribute to a safe, supportive, and patient-centered admissions environment.
