About The Position

The Admissions Clerk is responsible for interviewing patients or their legal representatives to gather demographic and insurance information, obtaining necessary signatures, and informing patients of their rights. This role involves direct interaction with Medical/Dental Staff and their office personnel for scheduling outpatient services and inpatient reservations. Key duties also include preparing patient charts, coordinating room assignments, ensuring patient transportation, entering ancillary testing orders, evaluating and entering emergency room charges, documenting scheduling and reservations, resolving problems, maintaining knowledge of insurance procedures, reconciling admissions/discharges/transfers for daily census, managing office supplies and keys, securing patient valuables, checking admission reports for charge transfers, and collecting payments for private rooms, respite care, and point-of-service collections, especially in the Emergency Department. The clerk also operates the hospital switchboard, executes emergency plans, maintains accurate patient and staff records, performs general office duties like answering phones, and provides professional, cooperative, and courteous service while maintaining confidentiality. The role also requires attending in-services, educational programs, and staff meetings, and identifying areas for self-improvement.

Requirements

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills.

Responsibilities

  • Promptly acknowledges and greets patient/legal representative. Determines appropriate service and assesses patient acuity.
  • Interviews patient/legal representative to obtain complete accurate information, in a timely courteous manner.
  • Explains all forms requiring signatures, informs patient of their rights, and provides hospital information/brochures.
  • Prepares appropriate chart.
  • Determines, coordinates and secures appropriate patient room assignments based on current policy.
  • Ensures proper transportation of patient to appropriate nursing unit or ancillary department.
  • Enters appropriate ancillary testing orders.
  • Evaluates and enters the emergency room charges accurately for services for services, pharmaceuticals and supplies rendered.
  • Accurately documents all scheduling and reservations called in by physician and/or their office staff.
  • Investigates, resolves and documents problems in a timely, efficient manner. Contacts Medical/Dental Staff, Nursing Units and Patient Care Administrator as needed.
  • Maintains current knowledge of State, Federal and individual insurance procedures related to the hospital’s registration functions.
  • Responsible for checking and reconciling all admissions, discharges and transfers, which are used to establish the daily census records for the hospital.
  • Maintains adequate supply of office materials; orders replenishments from Materials Management.
  • Maintains control of keys distributed for the PBX, Weir Conference Room and Starvaggi Board Room.
  • Documents and secures patient valuables in the safe when left with the Admitting Office for security purposes.
  • Responsible for checking the admission report which is generated daily, for proper transfer of charges to the appropriate patient account.
  • Responsible for the collection of money for: patients who request a private room, respite care services, and point of service collection.
  • When working in the Emergency Department responsible for collecting co-pays and self pays for Emergency Department visits.
  • Operates the hospital switchboard in an efficient, courteous manner.
  • Executes emergency plans calmly and promptly, according to established departmental and hospital procedures.
  • Maintains accurate records of patients, medical staff and all hospital personnel, necessary for efficient communication and continuum of patient care.
  • Performs additional duties such as, but not limited to: answering telephones, taking and providing information, as necessary.
  • Provides and gives professional, cooperative and courteous service to patients, visitors, telephone callers, medical/dental staff, and fellow employees, while maintaining confidentiality of patient, employee and hospital information at all times.
  • Each employee has a fundamental responsibility to safeguard patients' rights and demonstrate respect for such patient needs as confidentiality, privacy, security, complaint resolution, spiritual counseling, and communication.
  • Attends in-services and other educational programs as required.
  • Attends and participates actively in a minimum of three staff meetings annually.
  • Determines areas of self improvement; writes goals on performance appraisal.
