The Admissions Assistant is responsible for assisting with the admission process, data collection and entry, and completion of documents. The Assistant will be an integral part of assisting with ensuring compliance within the Admissions Department. The Admissions Assistant is also responsible for assisting the Clinical Nutrition Team with reviewing menu preferences for all new admissions. Requirements

  • Ability to multi-task.
  • Good communication and interpersonal skills.
  • Excellent Microsoft Office skills.
  • Ability to interact courteously and tactfully with staff, residents, family members, visitors, vendors and the general public.
  • This position may/will be required to provide direct care or have access to resident property or belongings.
  • High School Education required with an Associate’s Degree preferred.
  • A minimum of three or more years of administrative experience in a long-term care or health facility and experience with insurance verifications.

Responsibilities

  • Responsible to ensure all forms, documents and admission/tour packets are readily available.
  • Responsible for the duplication of all needed forms and documents with distribution and filing as appropriate.
  • Orders supplies for departments from vendors or marketing
  • Assist in maintaining the proper census to maintain financial security.
  • Assist with the solicitation and receiving of referrals.
  • Primary contact for tours
  • Respond to inquiries, offer assistance, guidance and referral information, as appropriate.
  • Assessments of referrals in the community as directed by Admissions Coordinator.
  • Assist with the coordination of admissions and readmissions with all departments.
  • Greeting of new admissions (and families as needed) and accompany to the unit.
  • Attend routine meetings as requested.
  • Maintaining the referral and application logs to ensure admission policies are followed and regulations are followed.
  • Verify insurances and obtain pre-auths, communicate them to MDS and finance.
  • Assist families/residents with completing admission paperwork
  • Forward a copy of completed admission paperwork to finance department
  • Responsible for reviewing menu preferences with all new admissions and input preferences into the menu management system. May also assist with reviewing menu preferences with long term care residents, as appropriate.
