About The Position

The Admissions Assistant provides administrative and operational support to the Admissions Department at a career school, ensuring prospective students receive accurate, timely, and compliant information throughout the inquiry and application process. This role supports admissions advisors, coordinates documentation, and assists with enrollment activities while adhering to institutional policies and applicable state, federal, and accrediting agency regulations.

Requirements

  • High school diploma or equivalent required; associate degree preferred
  • Minimum of 1 year of administrative, admissions, or customer service experience (education environment preferred)
  • Strong organizational and time-management skills with attention to detail
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and database systems
  • Ability to manage multiple tasks in a fast-paced environment

Responsibilities

  • Serve as a primary administrative support resource for the Admissions team
  • Respond to general prospective student inquiries via phone, email, and in-person in a professional and student-centered manner
  • Schedule virtual and in-person admissions appointments and campus tours as applicable
  • Assist with application and document submissions
  • Track admissions documents and maintain accurate student records in the Student Information System (SIS) and CRM
  • Verify receipt of required admissions materials and follow up with applicants as needed
  • Support data entry, reporting, and audit preparation related to admissions activity
  • Coordinate with Financial Aid, Registrar, and Student Services to ensure a smooth transition from inquiry to enrollment
  • Maintain confidentiality of student records in compliance with FERPA and institutional policies
  • Perform other related duties as assigned to support enrollment goals and departmental operations
  • Adhere to all institutional admissions policies and procedures
  • Ensure accuracy and completeness of admissions records for regulatory and accreditation compliance
  • Support compliance with applicable state authorization, consumer disclosure, and enrollment agreement requirements
  • Escalate compliance concerns or discrepancies to admissions leadership as appropriate
