About The Position

As Vendor Contract Administrator, you will ensure continuity in the BuyBoard on behalf of The Local Government Purchasing Cooperative and National Purchasing Cooperative (BuyBoard®). The Administrator will follow established processes and procedures with vendors to ensure that pricing and catalog files are always up to date and assists members and vendors with BuyBoard and Cooperative questions.

Requirements

  • Bachelor’s degree in business related field or equivalent education and/or experience.
  • 3-5 years of experience in governmental purchasing.
  • Thorough knowledge of procurement laws and procedures.
  • Proficiency with Microsoft Excel, Microsoft Word, Adobe Acrobat, internet applications and functions utilized by the Cooperative.
  • Thorough understanding of the BuyBoard marketplace database and display of vendor information.
  • Excellent communication skills, both oral and written, good public relation skills.
  • Ability to work with minimum supervision.

Nice To Haves

  • Certified Purchasing Manager (CPM), Certified Public Procurements Officer (CPPO), Texas Association of School Business Officials (TASBO) or equivalent certification preferred.

Responsibilities

  • Interprets vendor contract awards for compliance and periodic updates.
  • Track active contracts to ensure there are no lapses in the BuyBoard application.
  • Ensure that all required documentation is received from awarded vendors for inclusion in the BuyBoard application and verify formatting and content are contract appropriate.
  • Provides effective communications with vendors, members, and TASB staff.
  • Respond to telephone and email inquiries from BuyBoard customers and vendors.
  • Assist and/or intervene with members and vendors regarding contract compliance.
  • Tracks contract extensions and processes extension/non-extension letters in a timely manner.
  • Understand the BuyBoard application, functions, and administration.
  • Maintain and update BuyBoard contract and vendor data.
  • Maintain and update vendor catalogs and product price files.
  • Participate with BuyBoard application testing as assigned.
  • Utilizes time during the work day for the management of assigned activities, accomplishing the tasks assigned, and meeting deadlines within the department.
