About The Position

The Sales Support Administrator provides essential administrative and operational support to the sales team to ensure smooth, efficient customer experience from lead follow-up through order fulfillment and contract completion. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, customer-focused environment.

Requirements

  • Requires 2+ years of relevant experience
  • Demonstrates exceptional organizational skills with the ability to manage multiple tasks, deadlines, and workflows simultaneously. Comfortable following established processes while identifying opportunities to improve efficiency, accuracy, and consistency across sales support activities.
  • Takes ownership of assigned tasks and ensures timely completion without the need for constant oversight. Proactively tracks open items such as leads, quotes, orders, and contracts to resolution and escalates issues appropriately to keep work moving forward.
  • Approaches all interactions with professionalism and responsiveness, ensuring customers receive accurate information and timely updates. Understands the importance of delivering a seamless experience by anticipating needs and addressing questions or issues promptly.
  • Works effectively with sales, logistics, operations, and other cross-functional partners. Recognized as a reliable team member who communicates clearly, meets commitments, and contributes positively to team goals and deadlines.
  • Thrives in a fast-paced, collaborative environment, efficiently works under pressure, within deadlines or other essential time constraints.
  • Excellent communication skills, both written and verbal, to clearly and concisely communicate to all levels of the organization.

Responsibilities

  • Support sales team members with general administrative tasks to improve efficiency and responsiveness
  • Follow up on inbound and assigned sales leads to ensure timely response and next steps
  • Prepare and issue customer quotes accurately and in accordance with pricing guidelines
  • Track quote status and ensure timely progression through approval and acceptance
  • Partner with logistics, operations, and supply chain teams to ensure customer orders are processed and delivered on schedule
  • Monitor order status and proactively communicate updates or issues to internal teams and customers
  • Assist with order documentation, changes, and coordination as needed
  • Coordinate contract documentation, ensuring all required agreements are completed and fully executed
  • Track contract status and follow up with customers and internal stakeholders to obtain signatures
  • Maintain accurate and organized records of contracts, quotes, and customer documentation
  • Maintain accurate data in CRM and internal systems, including lead status, quotes, orders, and contracts
  • Generate basic reports or summaries related to sales activity, order status, or documentation
  • Performs other duties as assigned.
