The City of Norfolk's Department of Human Services (NDHS) provides a wide range of essential services to its citizens. These services are crucial in supporting the wellbeing of the community and ensuring that all citizens have access to the resources they need. NDHS is committed to providing such comprehensive support to its citizens. The NDHS is seeking an Administrative Technicial in their Home-Based Childcare Network (HCN) unit. The HCN is a unit responsible for monitoring the compliance of an intensive training and licensure process for individuals seeking to provide childcare in their home. The Administrative Technician is essential to managing the administrative functions of HCN to assist with processing applications for licensure, which may include tracking key documentation and ensuring it meets city code requirements; coordinating recruiting efforts; and maintaining data critical to reports.

Requirements

  • Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with six months/one year of advanced study or training past the high school equivalency. Junior college, vocational, business, technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.
  • Two years clerical experience.
  • Valid Driver's License may be required depending on assignment.

Nice To Haves

  • Six months to one year experience performing similar functions preferred.
  • Knowledge necessary to understand basic operational, technical, or office processes.
  • Proficient in Microsoft Suite, knowledgeable of mail-merge, V-Lookup and other office software.
  • Ability to lead a team of office support staff both in the office and remotely.

Responsibilities

  • Provides administrative assistance to the Home-Based Childcare Network program
  • Performs administrative duties by processing and maintaining files, processing and composing correspondence, answering telephone inquiries
  • Produce, review and edit various letters, memoranda and reports
  • Scanning documents into the agency's electronic filing system
  • Data management and database searches
  • Produce and maintain spreadsheets and reports
  • Must have excellent customer services skills
  • Must communicate well with internal and external partners
  • May require field work to retrieve documents or perform services key to the application process
  • Maintains security of classified or sensitive information related to client, personnel and financial records
  • Provide Administrative support to Supervisor, Programs Manager and Senior Leaders
  • Other tasks pertinent to the Home-Based Childcare Network Program as assigned
