About The Position

The purpose of this classification is to specialized administrative and clerical work in support of an assigned department.

Requirements

  • High school diploma or GED; supplemented by two (2) years previous experience involving administrative or clerical work; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must possess and maintain a valid Georgia driver’s license.
  • May be required to obtain and maintain certification as Notary Public.

Responsibilities

  • Perform customer service functions in person, by telephone, or by mail; provide information or assistance regarding department services, activities, forms, procedures, fees, or other issues; respond to routine questions and complaints; research problems and initiate problem resolution; refer complaints/problems to appropriate personnel.
  • Process a variety of documentation associated with department operations within designated timeframes and per established procedures; receive, review, record, type, and/or distribute documentation; enter data into computer systems; log, track, or maintain records regarding department activities; compile data for further processing or for use in preparation of department reports; file, maintain, and store hardcopy records.
  • Maintain file system of various files/records for the assigned area; prepare files, organize documentation, and file documents in designated order; retrieve/replace files; scan records into computer; shred/destroy confidential or obsolete documents; conduct records maintenance activities in compliance with guidelines governing record retention.
  • Research, compile, and/or monitor administrative, statistical or legal data pertaining to department operations; summarize data, perform routine data analysis, and prepare reports; conduct research of department files, legal records, database records, electronic data sources, Internet sites, hardcopy materials, or other sources as needed.
  • May collect fees and monies for department services; receive monies; balance cash drawer; and prepare deposit.
  • Prepare, type, proofread, and/or complete various forms, reports, correspondence, newsletters, lists, directories, logs, notices, schedules, expenditure reports, billing statements, work orders, annual and sick leave totals, charts, graphs, spreadsheets, brochures or other documents.
  • Receive various forms, reports, correspondence, billing invoices, time sheets, completed work orders, policies, procedures, manuals, handbooks, directories, reference materials, or other documentation; review, complete, proofread, process, forward or retain as appropriate.
  • Communicate with supervisor, City employees, the public and outside agencies as needed to coordinate work activities, review status of work, exchange information, resolve problems, or give/receive advice/direction.
  • Operate a personal computer, general office equipment or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, or other system software.
  • Perform other related duties as assigned.
