Creative Dining Services is seeking a detail‑driven, people‑centered Administrative & Talent Support Specialist to support their dining program at Aquinas College. This role is the operational heartbeat of the office—providing high‑quality administrative support, coordinating candidate pipelines for hourly roles, and ensuring a welcoming, professional experience for students, associates, and campus partners. Requirements

  • High School Diploma or equivalent required
  • Demonstrated proficiency with Microsoft Office and/or Google Workspace.
  • Strong communication skills with the ability to interact professionally across diverse groups.
  • Ability to manage multiple priorities with accuracy, confidentiality, and a service‑oriented mindset.
  • Ability to reliably report to work as scheduled.

Nice To Haves

  • Additional education in business, HR, or hospitality is a plus.
  • Experience in administrative support, HR coordination, or hospitality operations preferred.
  • Familiarity with applicant tracking systems or HRIS platforms is helpful but not required.

Responsibilities

  • Serve as the first point of contact for the dining office, greeting students, associates, and campus partners with warmth and professionalism.
  • Manage incoming calls, emails, and office inquiries, ensuring timely and accurate routing.
  • Provide comprehensive administrative support to the Dining Services leadership team, including scheduling, document preparation, data entry, filing, and general office coordination.
  • Maintain accurate records, reports, and departmental documentation to support operational excellence.
  • Assist with menu postings, marketing materials, and communication updates in collaboration with the culinary and retail teams.
  • Coordinate hourly recruiting efforts, including job postings, applicant communication, interview scheduling, and onboarding logistics.
  • Facilitate new‑hire processes: employment paperwork, I‑9 verification, background checks, benefits enrollment, and personnel file maintenance.
  • Ensure compliance with Creative Dining Services policies, state and federal employment regulations, and internal audit standards.
  • Support ongoing employee engagement efforts, recognition programs, and training coordination.
