About The Position

Pagosa Springs Medical Center (PSMC) is seeking a highly organized and dependable Administrative Support professional to assist the Rural Health Clinic (RHC) administrative team. This position provides administrative coordination, scheduling support, data tracking, and general clerical assistance to ensure smooth daily operations within the clinic. The role requires strong organizational skills, attention to detail, and the ability to adapt in a fast-paced healthcare environment with frequent interruptions. The Administrative Support team member works closely with clinic leadership, providers, and staff while maintaining a high level of confidentiality and professionalism.

Requirements

  • High school diploma or equivalent required
  • Previous receptionist experience required
  • Experience with data entry and spreadsheets required
  • Current AHA BLS (Heart Saver) certification required
  • Strong computer skills including Microsoft Office and electronic health record systems
  • Excellent organizational and time management abilities
  • Ability to manage multiple schedules and priorities
  • Strong communication and interpersonal skills
  • Ability to maintain confidentiality and professionalism
  • Ability to adapt in a fast-paced healthcare environment

Nice To Haves

  • Experience as an executive assistant or scheduler preferred

Responsibilities

  • Schedule and coordinate department meetings and appointments
  • Prepare meeting agendas, minutes, and distribute materials to participants
  • Coordinate schedules for clinic leadership and providers
  • Organize meetings with administrative teams, leadership, and visiting providers
  • Monitor team schedules to ensure appointments and meetings are attended
  • Answer and direct incoming calls using a multi-line phone system
  • Collect and distribute clinic mail
  • Perform general clerical duties to support administrative operations
  • Schedule interviews for potential new hires and assist with hiring processes
  • Assist with clinic projects, initiatives, and special events
  • Collect and compile clinic performance and statistical data
  • Track provider productivity and administrative hours
  • Monitor staff overtime reporting
  • Perform data entry and verification related to clinic charging processes
  • Monitor worklists and reconcile encounter charges
  • Generate reports using data from multiple sources
  • Assist with building and maintaining provider schedules
  • Audit clinic schedules for accuracy and notify appropriate staff of discrepancies
  • Monitor provider timecards and prepare payroll documentation
  • Track provider PTO and scheduling changes
  • Monitor and assign tasks on the clinic reschedule list
  • Maintain strict confidentiality of clinic and patient information
  • Support clinic and community initiatives
  • Assist with department inventory processes
  • Monitor messages and communications through clinic systems
  • Cross-train to support Patient Services Representative functions
