About The Position

The Administrative Support Specialist provides comprehensive administrative and task management support to the Army National Guard Strength Maintenance Division. This position ensures timely tracking, coordination, and reporting of official documents and facilitates recurring communication between HRR leadership and State Recruiting and Retention leadership. The specialist supports the division’s mission by maintaining accountability of all administrative actions within the Task Management Tool (TMT) and coordinating weekly teleconferences, virtual meetings, and video teleconferences. This position is on-site at the Army National Guard Readiness Center (TARC) in Arlington, Virginia

Requirements

  • Associate's Degree, or 2 years of related experience, or an equivalent combination of education and experience.
  • Experience providing administrative or task management support in a professional or government environment.
  • Ability to manage workflow in task tracking systems such as TMT or similar correspondence management tools.
  • Strong organizational skills with the ability to track multiple actions and meet deadlines.
  • Proficient in coordinating meetings, virtual events, and teleconferences.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively with leadership and staff at various organizational levels.
  • Must possess a SECRET security clearance

Responsibilities

  • Track, manage, and report all incoming and outgoing correspondence within the TMT, ensuring accuracy and accountability.
  • Process and monitor official documents, including Presidential and Congressional inquiries, awards, exceptions to policy, information papers, executive summaries, legal reviews, and Strength Maintenance Operation Messages.
  • Provide timely updates on TMT action status to assigned action officers and HRR leadership.
  • Coordinate and schedule weekly teleconferences, virtual meetings, and Video Teleconferences (VTCs) between HRR leadership and State Recruiting and Retention leadership.
  • Maintain organized administrative records to support HRR workflow, decision making, and reporting requirements.
  • Support the HRR Division by ensuring effective communication, documentation tracking, and administrative readiness across assigned tasks.
