About The Position

BMA is seeking a Administrative Support Senior to support the DLA JETS Defense Agencies Initiative (DIA) Program Management Office (PMO) program. This position is located at Fort Belvoir, VA and is contingent on contract award. Job Summary BMA is seeking an Administrative Support Senior to support our DIA PMO contract. The Administrative Support – Senior Level provides executive-level administrative, documentation, communications, and governance support to the DLA DAI PMO. Responsible for producing high-quality executive communications, programmatic briefings, technical documentation, and governance artifacts that support acquisition, financial management, internal controls, scheduling, and stakeholder coordination activities. Operating with minimal supervision, acts as a strategic communications and documentation integrator, ensuring information transmitted to senior leadership is accurate, complete, visually compelling, and aligned with DAI program objectives. Functions as a key enabler of PMO efficiency, supporting executive meetings, milestone reviews, financial reporting cycles, audit documentation preparation, and change management initiatives.

Requirements

  • 5+ years of relevant experience supporting executive-level administrative or program management functions.
  • Expert proficiency with SharePoint, Microsoft Word, Excel, and PowerPoint, and IT project management experience using Microsoft and graphic tools.
  • Expert experience coordinating high-visibility seminars, conferences, and program meetings.
  • Demonstrated experience creating, editing, and maintaining technical documentation and executive briefings.
  • Excellent written and oral communication skills with strong visual communication capabilities; ability to draft executive-level communications.
  • Proficiency in organizational change management standards.
  • Ability to multi-task, manage competing priorities, and deliver high-quality outputs under broad guidance.
  • There is a Secret Security clearance requirement for this position.
  • Able to travel within a week's notice.

Responsibilities

  • Provide Executive Communications and Governance Support.
  • Compile, draft, edit, and format reports and briefings.
  • Draft executive communications.
  • Assist in setting up and facilitating executive meetings, IPRs, milestone reviews, and working sessions.
  • Develop meeting agendas, capture minutes, track action items, and report status updates.
  • Ensure materials prepared for leadership approval meet quality standards.
  • Support Presentation and Visual Communications Development.
  • Integrate text, graphics, data tables, and visual elements into cohesive presentations.
  • Develop visually compelling PowerPoint briefings tailored to senior leadership.
  • Translate complex financial, acquisition, or testing data into clear visual dashboards.
  • Create infographics, charts, process flow diagrams, and executive summaries.
  • Provide Documentation Management and Repository Governance.
  • Maintain and organize internal documentation libraries using SharePoint.
  • Ensure documents are version controlled, categorized, current, and accessible.
  • Assemble and format technical manuals, functional descriptions, SOPs, reports, and guides.
  • Provide quality assurance edits for clarity, consistency, and technical alignment.
  • Assist in maintaining records.
  • Provide Financial and Administrative Reporting Support.
  • Support preparation and formatting of budget reports, cost estimates, financial dashboards, and spend plan summaries.
  • Compile relevant data from multiple sources to create consolidated reports.
  • Assist with financial tracking spreadsheets and executive financial presentations.
  • Provide Event and Seminar Coordination.
  • Coordinate logistics for highly visible collaborative events, seminars, and boards.
  • Manage scheduling, stakeholder coordination, and venue preparation.
  • Ensure all briefing materials are finalized and distributed in advance.
  • Facilitate effective communication flow before, during, and after events.
  • Provide Organizational Change Management Support.
  • Support implementation of change management strategies aligned with DAI modernization initiatives.
  • Develop communications materials supporting system updates, process changes, and policy updates.
  • Assist leadership in crafting messaging that guides teams through organizational change.
  • Promote stakeholder alignment and adoption of new processes.
  • Provide Technical Documentation and Analysis Support.
  • Assemble and edit systems, programming, and operations documentation.
  • Analyze information within reports to highlight findings, trends, risks, and recommendations.
  • Prepare summaries and briefing materials.
  • Ensure consistency between documentation, schedules, and financial artifacts.
  • Conduct Cross-Functional Coordination and Execute Multi-Tasking.
  • Coordinate across acquisition, financial, testing, and cybersecurity teams.
  • Deconflict competing priorities under broad guidance.
  • Ensure timely follow-up on action items and document revisions.
  • Serve as a trusted liaison facilitating rapid information exchange.
