The HR & Administrative Services department is comprised of human resources, administration, and information technology. This is a multifaceted and highly collaborative team that strives to provide excellent customer service to our internal and external customers. The Administrative Supervisor oversees administrative support staff and the day-to-day office operations in our Bellingham and Mount Vernon offices, while carrying out a variety of routine and complex duties that support the overall objectives of the HR & Administrative Services department. This is a multi-faceted role with duties spanning across the full spectrum of administrative related activities, including reception/office operations, facilities and related safety, public records management, and marketing. This position interfaces with individuals at all levels within the organization and with the public, delivering exceptional customer service to both internal and external customers. This is a highly collaborative, team-oriented role, that requires a passion for customer service and administrative services, while demonstrating diplomacy, tact and willingness to tackle the seemingly small tasks.

Requirements

  • Bachelor’s degree in business administration, public administration or related field; AND three years of experience in managerial administrative support with supervision of a team; OR an equivalent combination of education and experience that provides the skills, knowledge and ability to perform the work.
  • Knowledge of administrative and office procedures, terminology and systems; file and records management, and internal and external customer service.
  • Demonstrated proficiency in MS Office Suite, Adobe, and similar programs.
  • Displays exemplary tact and interpersonal skills, including the ability to maintain composure during difficult situations.
  • Listens attentively and communicates effectively in both oral and written format.
  • Ability to establish and maintain effective working relationships with a wide variety of individuals, with a diverse range of communication and working styles, including providers and vendors, community agencies, the general public, employees and peers using courtesy, tact, diplomacy and rapport.
  • Ability to learn and apply deescalation and effective communication techniques, including conflict resolution.
  • Demonstrates flexibility with changing priorities and manages change appropriately.
  • Ability to maintain confidentiality of information, including client information, personnel, and financial records.
  • Ability to analyze situations, consider implications, and develop effective solutions.
  • Sensitivity to the needs and values that are present in working with diverse groups of people.
  • Working knowledge of Robert’s Rules of Order, Open Public Meetings Act, and Public Records Disclosure.
  • Demonstrates an ability to engage with communities of color, people with disabilities, LGBTQIA+, and other marginalized communities.
  • Demonstrates an understanding of institutional barriers to services.
  • Demonstrated ability, willingness and commitment to support an environment that advocates and creates a sense of belonging for individuals of all ethnicities, genders, ages, and backgrounds.

  • Must have a valid driver's license, a vehicle available for work-related travel, and appropriate liability insurance.
