About The Position

As an Administrative Specialist in our Youth Services/YouthBuild program, you would play a pivotal role in supporting our mission by providing exceptional professional administrative support to this department. This role requires a blend of strong communication skills, good time management, and outstanding organizational and customer service skills.

Requirements

  • High School Diploma or equivalent education
  • 5+ years of relevant work experience
  • Ability to build collaborative relationships
  • Excellent customer service, organizational, interpersonal, oral and written communication skills
  • Ability to work well under pressure with good problem-solving and decision-making skills
  • Ability to manage multiple priorities and work in a fast-paced environment with minimal supervision
  • Excellent attention to detail and ability to maintain confidentiality
  • Excellent teamwork skills
  • Proficient Computer Skills to Include Windows, Microsoft Word, Excel, Internet, and comfort learning new software and tracking systems
  • Must be able to work a flexible schedule including evenings and weekends

Nice To Haves

  • Bilingual skills (English/Spanish, English/Khmer, English/Portuguese)
  • Associates Degree

Responsibilities

  • Provides departmental reception services, receiving and directing visitors or calls
  • Prepares reports and presentations, often of a complex or confidential nature
  • Supports organization of marketing materials, reception area, case management offices, and Mill You program to ensure a welcoming, inclusive and informational environment
  • Organize and assist in planning meetings, events, and hosting client visits internal/external. This includes maintaining and organizing meeting minutes and documentation
  • Ensures that departmental operations comply with organizational policies and procedures.
  • Participates in and contributes to special projects as directed by the department head.
  • Receives and responds to correspondence and maintains departmental records.
  • Communicates with vendors to ensure that administrative or program needs are maintained
  • Serve as the liaison with CTI administrative offices and Division to ensure follow through and completion of all administrative tasks
  • Collaborate with Youth Services/YouthBuild Front Door staff to communicate/engage needs of young adults accessing the Youth Opportunity Center
  • Participate in trainings to support a youth-focused, trauma informed lens
  • Participate in program meetings as required
  • Performs other related duties as required
