About You and this Role Dow has several exciting opportunities available for Administrative Specialist / Material Coordinator roles. We currently have two openings: Angleton, TX: This position will focus primarily on Material Coordinator responsibilities. Bay City, TX: This role will be a hybrid position, combining both Administrative Specialist and Material Coordinator duties. Administrative Specialist portion of role provides general administrative support as well as to a leader or department. Exercises discretion and independent judgement in managing flow of work. Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision. Material Coordinator portion of role acts as a focal point for acquisition, scheduling and distribution of materials, supplies and service requisitions in order to expedite materials. The main scope is for maintenance jobs. However, at small sites, the scope might be broader. Requires full proficiency in a range of technical, operational, or analytical/scientific processes and procedures through job-related training and considerable on the job experience to perform a variety of work assignments. Acts as an informal resource for team members with less experience. These roles are aligned to the Diamond Infrastructure Solutions (“Diamond Infra”) company and will be seconded from Dow to Diamond Infrastructure Solutions until January 1, 2027. At that time, the roles will become directly aligned to the Diamond Infrastructure Solutions Company.

Requirements

  • A minimum of a High School Diploma/GED Equivalent.
  • A minimum of 6 years of relevant experience.
  • A minimum of 6 years of pipeline experience.
  • Prior SAP experience.
  • A minimum requirement for this U.S. based position is the ability to work legally in the United States.
  • No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
  • Detail Oriented: Accurately manage materials, requests, documents, expenses, and tracking details to ensure smooth administrative and material‑coordination workflows.
  • Communication: Communicate changes, concerns, and project needs effectively across diverse audiences.
  • Scheduling: Support scheduling-related needs for material deliveries, work orders, and off‑site resources.
  • Coordinating Tasks: Prioritize multiple requests, organize workflows, and coordinate administrative and materials‑related activities with procurement, planning, and maintenance teams.
  • Microsoft Office: Use Outlook, Excel, Word, PowerPoint, Teams, and SharePoint to manage communication, documentation, scheduling, tracking, reporting, and continuous process improvement.

Responsibilities

  • Provide broad administrative support with limited supervision, including scheduling meetings, booking rooms, managing visitors, ordering food, presenting materials, and taking notes.
  • Ensure effective communication flow using knowledge of organizational structure and processes.
  • Prioritize multiple requests, troubleshoot issues, use technology confidently, and adapt to change.
  • Serve as a point of contact for questions and vendor interactions; proactively manage manager calendars and resolve meeting conflicts.
  • Maintain SharePoint/Teams sites, oversee office equipment, and support continuous improvement of processes and systems.
  • Complete and track expense reports, resolve discrepancies, and report to budget owners.
  • Contribute to projects independently, improving team efficiency and overcoming obstacles.
  • Build strong relationships, communicate clearly for diverse audiences, and help resolve concerns.
  • Understand team goals, make sound decisions, model high work standards, motivate others, and maintain productivity during change.
  • Use IT tools effectively, coach others on systems/equipment, maintain records per company guidelines, and protect confidential information.
  • Identify customer and coworker needs and respond appropriately, leveraging integrated business/functional systems.
  • Enter and manage material, tool, and equipment requests through procurement systems and confirm delivery dates.
  • Provide status updates, report delays, and communicate specification changes between suppliers and requestors.
  • Handle surplus material disposition and coordinate repairs/returns for value‑added work orders.
  • Track materials upon receipt and prepare requisitions for off-site or non‑maintenance needs.
  • Organize materials for easy identification and job readiness.
  • Input data into maintenance KPIs, use metrics to improve materials processes, and report vendor performance.
  • Collaborate closely with procurement, coding, planning, scheduling, and work coordination teams to support seamless execution of the Global Management Work Process (GMWP).
