You must apply by 11:59 PM prior to the posted closing date. “Internal Posting-Only temporary or permanent NCDOT employees or layoff candidates with the NC Department of Transportation eligible for RIF priority reemployment consideration as described by GS 126 May Apply” THIS POSITION IS LOCATED IN DMV HEADQUARTERS - NASH COUNTY The Administrative Specialist I’s primary responsibilities are the administrative support of all personnel within Staff Development Unit. The Administrative Assistant I must be able to function within a fast-paced office environment that supports the unit and customers located throughout the state. They must be able to communicate effectively, clearly and concisely in written and oral communications to internal customers, external customers, other state agencies and the general public. Customer service and public relations are major components of this position. Many associated administrative and support role tasks are also required. These include but are not limited to office equipment operation, computer systems operation, software usage, time management, and multi-tasking.

Requirements

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with Docusign
  • Strong written, verbal, and organizational skills.
  • High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.

Nice To Haves

  • Knowledge of office administration, record keeping practices, and state government procedures, including managing files, databases, and confidential training records.
  • Experience using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with systems such as DocuSign and learning management systems (LMS).
  • Demonstrated ability to organize, prioritize, and manage multiple tasks in a fast-paced environment, including scheduling, coordinating training logistics, and supporting statewide training operations.
  • Customer service experience with interpersonal skills, demonstrating professionalism, tact, and problem-solving when responding to training inquiries and assisting employees.

Responsibilities

  • Coordinate hotel accommodation and travel arrangements for employees providing training.
  • Schedule classrooms, testing areas, and meeting spaces for the Division.
  • Prepare training environments, equipment, and instructional materials.
  • Generate reports to track compliance, testing results, and training outcomes.
  • Serve as a point of contact for training inquiries and provide customer service support.
  • Assist in ordering training manuals, supplies, and other instructional materials.
  • Assemble and distribute welcome packets for new hires and program participants.
  • Process and issue employee security badges in compliance with DMV procedures.
  • Draft and process requisitions (RQ) for training expenses.
  • Manage document routing and approvals.
  • Maintain organized files, databases, and records of employee training and certifications.
  • Collect, compile, and analyze training participation and completion data.
  • Generate reports for management to track compliance, certifications, and program outcomes.
  • Provide recommendations for improving training operations based on data trends.
  • Enter and monitor test acknowledgments within the LMS.
  • Update and maintain results in the training “test wall” for accountability and compliance tracking.
  • Assist staff with accessing and completing online learning modules.
  • Provide customer service to employees with training-related inquiries.
  • Assist with special projects, conferences, and statewide training initiatives.
  • Perform additional duties as assigned to support DMV staff development and training operations.
