About The Position

The Waukesha County Board of Supervisors Office is recruiting a detail-oriented, customer service-focused professional to serve as the Office’s Administrative Specialist (Float). This position provides administrative and technical coordination to support the legislative operations of the County Board, with primary responsibility for committee meeting support, public-facing reception functions, and administrative support to the Chief of Staff, Legislative Policy Advisor, and County Board Chairperson, including scheduling meetings, managing calendars, and coordinating meeting logistics. The Administrative Specialist (Float) position is managed by the County Board Office. The incumbent will spend approximately one-half of the workday providing administrative support to the County Board Office and will float for the remaining one-half of the workday, on an as-needed basis, within the Department of Administration to provide administrative coverage during staffing shortages, peak workload periods, and special projects/initiatives. Work location and daily assignments may vary based on operational needs. County Board Office Role This position operates in a public-sector environment that requires professionalism, discretion, reliability, and consistent attention to deadlines associated with public meetings and legislative processes: Provide technical and administrative coordination for the County Board’s seven standing committees, including preparing meeting materials and recording accurate minutes in accordance with established procedures. Assist senior staff with the publication and distribution of meeting agendas. Coordinate committee appearances and presentations by working with County departments, staff, and representatives of external/private organizations. Provide administrative support to the Chief of Staff, Legislative Policy Advisor, and County Board Chairperson, including scheduling meetings, managing calendars, and coordinating meeting logistics. Process routine financial transactions and associated documentation in accordance with County policies and procedures. Coordinate events and serve as the point person for initiatives and coordinating additional committees under the purview of the County Board Chairperson. Requirements

  • High School Diploma or GED.
  • Two years post high school work experience providing administrative support.
  • One year of recognized post high school training in business, administrative professional, or closely related field may substitute for one year of the work experience requirement.
  • Demonstrated ability to multitask, prioritize competing demands, and maintain a high level of organization and attention to detail.
  • Strong customer service skills and the ability to communicate professionally with elected officials, County leadership, department staff, and the public.
  • Strong computer skills and proficiency with standard office technology and calendaring systems.
  • Ability to take initiative, exercise sound judgment, and work effectively as a member of a collaborative team.
  • Commitment to continuous improvement and efficient public service operations.
