About The Position

The Oregon Military Department is a state agency that supports the Oregon National Guard. You are NOT required to be a member of the Oregon National Guard to apply for this position. The Oregon Military Department is recruiting for an Administration Specialist 2 (Community Service Coordinator). This is a permanent full-time state position located at the Oregon Youth Challenge High School in Bend, Oregon. What You Will be Doing This position is responsible for the development, coordination, contract oversight, service delivery, training and safety of the entire Community Service/Service Learning component at OYCP and within the National Guard Bureau service model.

Requirements

  • Three (3) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.

  • An associate degree in general office occupations and two (2) years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.

  • An equivalent combination of education and experience.
  • Must possess and maintain a valid driver's license and acceptable driving record.
  • Must possess or obtain and maintain a Class B CDL within 90 days of hire.

  • Organizational and Logistical Competence: Effectively plans, coordinates, and tracks multiple projects and resources, including transportation, tools, cadet movement, and schedules.
  • Effective Communication and Collaboration: Communicates clearly and respectfully across departments, shifts, and external agencies. Maintains professionalism in all written and verbal interactions.
  • Safety and Accountability Awareness: Maintains a high standard of safety and accountability in cadet supervision, community service projects, equipment usage, and transportation activities.
  • Initiative and Problem-Solving: Proactively identifies challenges, applies sound judgment, and takes initiative to resolve issues independently or in coordination with leadership.
  • Youth Centered Perspective: Demonstrates an understanding of and respect for the unique needs of at-risk youth in a structured, goal-oriented, and supportive environment.
  • Must have and maintain a favorable criminal background check.
  • The top candidate will be subject to drug screening, fingerprint-based background and abuse check.
  • Annual first aid and CPR certification
  • Must wear personal protective equipment and model safety for Cadets and staff
  • Employee is required to maintain a drug/alcohol free workplace in accordance with OMD Drug/Alcohol CPM's, Policies, and the Statewide Drug Free Workplace Policy 50-000-01.

Responsibilities

  • Coordinating daily cadet transportation for off-site projects and ensuring vehicle safety, cleanliness, fueling, and maintenance (on-site and scheduled service).
  • Developing and maintaining the daily Plan of the Day (POD) to ensure seamless scheduling of cadet movements, staffing, and logistical support.
  • Communicating regularly with Cadre, education staff, and administrative leadership to ensure alignment of community service activities with overall training plans.
  • Managing and tracking service tools, PPE, and project materials; ensuring all items are available, serviceable, and stored securely.
  • Preparing detailed project packets (e.g., Service to Community Agreements, site evaluations, rosters, safety plans) for all cadet events.
  • Supporting operational coverage by assisting Cadre, classroom staff, or mentors during transitions, projects, or when short-staffed.
  • Maintaining accurate data and documentation of service hours, incident reports, equipment use, and cadet participation for compliance and reporting.
  • Representing OYCP in communication with partner agencies, nonprofits, and government entities in a professional, mission-aligned manner.
