The Oregon Department of Agriculture (ODA) is currently recruiting for an Administrative Specialist 1 position within the Agriculture Services Division. Learn more about what we do here What you'll be doing: As an Administrative Specialist 1, Agriculture Services Division Program Assistant, you will be part of the Agriculture Services Division, a group of programs that work together statewide to assist Oregon's agriculture producers to successfully sell and ship products worldwide. The Shipping Point Inspection (SPI) Program provides a variety of services for the inspection, verification, and certification of Oregon commodities prior to their shipment into US and world commerce channels. These include impartial third-party inspection of product to determine grades of fruits, nuts, and vegetables and implementation of alternative inspection programs where ODA staff collaborate with customers to provide inspections. SPI program staff provide inspections and issue phytosanitary certificates to support export of Oregon agriculture commodities. In this position, you will provide administrative support to the Shipping Point Inspection Program and other Agriculture Services Division programs as needed. This position provides general administrative support to division programs and managers as well as entering certificates, assisting with invoicing and timekeeping and receives and processes phytosanitary certificates. This position is in the Hermiston Shipping Point District based out of Hermiston, OR. The Administrative Specialist 1, Agriculture Services Division Program Assistant is a full-time seasonal position, located in Hermiston, Oregon. This is an in-office position without the possibility for a remote or hybrid work schedule.

Requirements

  • Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data.
  • OR
  • An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data.
  • OR
  • An equivalent combination of education and experience.
  • A valid driver's license and an acceptable driving record.

Nice To Haves

  • General knowledge of Oregon agriculture and inspection processes.
  • Proficiency in executing a range of clerical and administrative functions, with strong technical and secretarial support capabilities. Experience should include computer proficiency using Microsoft Word, Excel, Outlook, and Teams, Adobe Acrobat, etc.
  • Experience reviewing invoices and processing payments.
  • Demonstrated proficiency in interpreting laws, rules, policies, or procedures and applying those interpretations to process applications or make determinations.
  • Experience providing customer service to a variety of individuals from diverse backgrounds, including people who may be facing challenging circumstances or stressful situations.
  • Ability to communicate orally and in writing with a variety of people to obtain or provide information.
