About The Position

This is advanced clerical and secretarial work of considerable responsibility and difficulty. Employees in this classification work directly for a building principal or an administrator. Employees in this class are responsible for the performance of a variety of complex clerical and secretarial tasks and the application of considerable independent judgment and knowledge of departmental practices and procedures in their execution. Emphasis is placed on relieving an administrative official of significant administrative detail and carrying out complex and responsible clerical work with a minimum of supervision. Work is reviewed by supervisors through observation of operations and examination of final work products. Supervision may be exercised over other clerical personnel. In addition, these employees will be responsible for dealing with the public as well as the responsibility of dealing with students.

Requirements

  • High School Diploma/GED
  • Thorough knowledge of modern office practices and procedures
  • Ability to deal with the general public
  • Ability to deal with school age children
  • Ability to carry out a variety of complex clerical and secretarial functions with a minimum of supervision
  • Ability to maintain a variety of complex records, to assemble and organize data and to prepare reports from such records
  • Ability to establish and maintain effective working relations with employees, superiors, subordinates, public officials, and the public
  • Ability to operate a variety of office equipment
  • Skill in the operation of computers and common office software including, but not limited to, Microsoft Office products
  • Speed and accuracy in keyboarding expected
  • Must pass District’s skill test
  • Considerable experience in performing clerical work of a progressively responsible and difficult nature

Responsibilities

  • Serves as secretary to an administrative official; prepares minutes, correspondence, memoranda and other documents; screens calls and callers; answers inquiries from the public; makes appointments; composes correspondence for superior’s signature; organizes and maintains a filing system; prepares a variety of reports from information gathered from several sources; assists parents and members of the general public who enter the school building; may be required to provide orientation and assignments to substitutes.
  • Prepares meeting agendas; arranges for the distribution of reports to appropriate officials.
  • May assist in the preparation of the school’s budget; assembles information, arranges it into appropriate format, assembles final document.
  • Prepares purchasing documents within the scope of the District’s purchasing policy.
  • Performs related work as required.
