About The Position

Endeavor Health Services is seeking a highly professional and detail-oriented Administrative Receptionist to join our administrative office team in West Seneca. This role is ideal for an experienced administrative professional who thrives in a high-skill environment and is committed to excellence in operational efficiency, communication, and organizational management. The Administrative Receptionist will serve as a first point of contact for visitors and partners, ensuring seamless office operations and supporting executive-level administrative functions. The successful candidate will: Provide comprehensive administrative support to ensure the efficient operation of the office. Provide comprehensive administrative support, including document preparation, filing, scanning, copying, binding, and coordinating the distribution of key agency materials. Accurately manage and maintain agency policies, procedures, agreements, and contracts; ensure all documentation is current, organized, and readily accessible. Communicate with managed care organizations and other external stakeholders to resolve administrative inquiries of a non-clinical nature with professionalism and precision. Maintain and manage agency agreements, contracts, and related logs; ensure letters of agreement with external providers are accurate and up to date. Handle confidential and sensitive information with the highest degree of discretion. Record, prepare, and distribute accurate minutes of executive and leadership meetings; maintain detailed and organized records. Develop and sustain an efficient filing system for office documentation. Oversee office operations, including mail distribution, equipment maintenance, and supply inventory, anticipating organizational needs and proactively addressing them. Maintain the agency check log and support financial tracking in alignment with organizational processes. Exhibit exemplary professional communication via phone, email, and written correspondence, representing the organization with integrity and skill. Participate in special projects, agency development initiatives, and marketing efforts as requested by leadership

Requirements

  • Bachelor’s Degree in Business or Liberal Arts with a minimum of one (1) year experience in an administrative role which required independent judgment and task completion. OR Associate’s Degree with a minimum of three (3) years experience in an administrative role which required independent judgment and task completion.
  • Proven ability to manage complex administrative tasks with precision, professionalism, and high attention to detail.
  • Strong organizational skills, ability to prioritize multiple high-level tasks, and capacity to operate independently in a dynamic environment.
  • Valid NYS driver’s license and reliable transportation required for local travel between offices and supply locations.
