About The Position

As the Krieger School for Arts and Sciences pursues a strategic priority to expand its faculty, new support is required to coordinate faculty searches, elevate the experience for potential hires, and welcome newly recruited faculty. We are seeking an Administrative Project Specialist who will work collaboratively within the Dean’s office and with staff and faculty in academic departments. The position reports to the Assistant Dean for Strategic Initiatives. The Administrative Project Specialist will provide general administrative and coordinating support for activities and/or projects for a team, unit or principal.

Requirements

  • High school diploma or graduation equivalent.
  • Five years of progressively responsible experience providing administrative support.
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

  • Bachelor's Degree.
  • Highly proficient with Microsoft Office programs, including Outlook, Word, Excel and PowerPoint.
  • Background in higher education with a strong understanding of institutional processes and policies.
  • Proven ability to deliver exceptional customer service, creating a positive and professional experience for students, faculty, staff, visitors, and external partners.

Responsibilities

  • Perform varied and multiple administrative support functions for recurring and ad hoc projects and/or specialized operations.
  • Develop administrative processes and workflows.
  • Assist in planning and development.
  • Provide reports and summaries as requested.
  • Resolve administrative issues and problems.
  • Assist with business and financial processing, e.g. budget reconciliation, expense reimbursements, payment of invoices, etc.
  • Foster institutional relationships. Collaborate and liaise with individuals across the institution.
  • Work closely with departments to consider the many facets of faculty recruitment.
  • Draft, edit, and manage distribution of candidate itineraries for campus visits.
  • Curate an experience for faculty candidates that that promotes a warm and welcoming environment.
  • Develop mechanisms to collect feedback on the candidate experience to improve hiring success.
  • Supports the orientation of new faculty.
  • Other duties as assigned.
