The incumbent facilitates communication between teams ensuring that projects run smoothly and meet organizational goals. The incumbent serves as a liaison between administrative program staff and the rest of the university stakeholders in meeting the operational and logistical needs of the department. This position will report to the Associate Dean of Research Graduate Programs.

Requirements

  • Proficient knowledge of word processing, spreadsheets, database programs, and presentation software to perform a variety of project-related assignments.
  • Knowledge of general office procedures and practices.
  • Ability to effectively communicate in a clear and concise manner both orally and in writing.
  • Ability to establish and maintain effective and harmonious work relations with faculty, staff, students, and the community.
  • Ability to develop action plans in resolving and implementing organizational and operational problem goals.
  • Ability to plan and prioritize multiple activities in an office setting.
  • Bachelor’s Degree required and relevant 1-3 years of experience in program administration or assistance.
  • 6 years of related work experience may be substituted in lieu of educational qualifications.
  • Other related duties, as may be required.

Responsibilities

  • Provide comprehensive administrative and program support to ensure efficient office operations, including managing, and making travel arrangements for senior staff.
  • Maintain filing systems, operate and maintain office equipment, and coordinate repairs and maintenance.
  • Answer and direct phone calls, respond to digital correspondence, and greet visitors.
  • Coordinate logistics for meetings and events, including room setup, catering, and reservations.
  • Arrange meetings, schedule conferences, as directed by supervisor; notifies attendees or participants in logistics.
  • Serve as a liaison to faculty by overseeing and managing all travel authorization requests, ensuring completeness, accuracy of required documentation, and compliance with institutional policies.
  • Manage the College of Arts and Sciences travel inbox, responding to inquiries related to travel and reimbursements while ensuring the timely processing of travel and expense reimbursements.
  • Develop, maintain, and communicate clear policies and procedures related to university travel and expense reimbursement.
  • Maintain filing systems, operate and maintain office equipment, and coordinate repairs and maintenance.
  • Answer and direct phone calls, respond to digital correspondence, and greet visitors.
  • The Administrative Program Coordinator will work with Associate Dean of Research Graduate Programs - responsible for the oversight and day-to-day management of faculty start-up funds, ensuring compliance with institutional, sponsor, and financial policies.
  • This role supports faculty by monitoring expenditures, reconciling accounts, and providing guidance on allowable costs, while coordinating with the Provost Office, and Sponsored Programs to ensure timely and accurate processing of transactions.
  • Assists with the coordination of the program’s seminars, workshops, travel arrangements, special projects, and/or events; may coordinate programs/project development planning.
  • Ensure timely dissemination of information to students and faculty through the design and maintenance of bulletin boards and electronic documents.
  • Assist in program budget management, documentation, and proofreading.
  • Act as a liaison between departments, vendors, and other internal and external stakeholders.
  • Performs other related duties as assigned.
