About The Position

The Administrative Professional, Journeyman (PMSS) plays a critical role in ensuring the smooth and efficient operation of administrative functions within the organization. This position is responsible for managing a variety of clerical and administrative tasks that support project management and service systems. The role requires a detail-oriented individual who can handle complex scheduling, documentation, and communication duties to facilitate project workflows and stakeholder coordination. The successful candidate will serve as a key liaison between different departments, ensuring that information is accurately recorded and disseminated in a timely manner. Ultimately, this role contributes to the overall productivity and success of projects by maintaining organized and effective administrative support.

Requirements

  • High school diploma or equivalent required
  • Minimum of 3 years of experience in an administrative or clerical role, preferably within project management or service systems environments.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Experience with Defense Travel System (DTS), BASICS II, Defense Information System for Security (DISS)

Nice To Haves

  • Associate’s degree or higher preferred.
  • Experience with project management software such as Microsoft Project or Primavera.
  • Familiarity with data entry and database management systems.
  • Prior experience working in a government or large corporate environment.
  • Certification in administrative support or project management (e.g., CAP, PMP) is a plus.
  • Ability to adapt to changing priorities and work effectively in a fast-paced environment.

Responsibilities

  • Manage and maintain project documentation, including reports, schedules, and correspondence.
  • Coordinate meetings, prepare agendas, and document minutes to ensure clear communication among project teams.
  • Assist in tracking project progress and updating relevant databases and management systems.
  • Serve as a point of contact for internal and external stakeholders, responding to inquiries and facilitating information flow.
  • Support the preparation of presentations, proposals, and other project-related materials as needed.
