About The Position

General Description We are seeking a motivated, detail-oriented Administrative Operations Intern who would support a high-impact, internal CEO sponsored initiative focused on strengthening how the organization operates. Interns will work within one of the following three Central Administration departments: Human Resources Finance Administration (ITS, Office Services, Purchasing, and Property) The main goal of this internship is to support an Administrative Continuity Initiative at the organization by capturing institutional knowledge, documenting core processes, and organizing information and materials related to the organization’s HR, Finance, and Administrative operations. The scope includes interviewing department staff, documenting workflows, and organizing critical knowledge to create standard operating procedures (SOPs) and support systems for greater efficiency and operational continuity of the organization. This role offers hands-on experience and exposure to how a large, complex, mission-driven organization functions behind the scenes.

Requirements

  • Rising juniors or seniors in college or recent graduates
  • Interest in process improvement, documentation, organizational knowledge management, or nonprofit management.
  • Strong organizational skills with attention to detail and the ability to handle multiple priorities.
  • Excellent communication and interpersonal skills, particularly for conducting interviews and professional writing.
  • Demonstrated commitment to maintaining data integrity: ensuring accuracy, consistency, and confidentiality across documentation.
  • Able to maintain strict confidentiality when dealing with internal processes and proprietary information.
  • Able to take initiative, self-motivated, and a strong team player.
  • Full-time Able to commit to working at least 25-35 hours/week for 8-10 weeks starting from June 14

Nice To Haves

  • Proficiency in common documentation tools (e.g., Google Docs, Microsoft Office, Scribe, Canva, etc) or diagramming software is a plus.

Responsibilities

  • Process Analysis & Documentation: Work with departmental staff to identify, map, and document key processes and workflows (e.g., "how to" guides, flowcharts, checklists).
  • Interview & Synthesis: Conduct structured interviews with employees at various levels to gather comprehensive information on existing procedures and unwritten rules.
  • Knowledge Organization: Produce written outlines and organize the department's existing systems and processes documentation to improve readability and accessibility.
  • Historical Documentation: Review existing documents detailing standards of practices, processes, and systems, and update and/or re-draft as needed and appropriate.
  • Standardization: Coordinate with other department interns and work closely with the centralized initiative coordinator to ensure that documentation is consistent throughout the organization.
