About The Position

The Administrative Office Coordinator is responsible for delivering a professional and welcoming first impression at Asbury’s headquarters while ensuring smooth day-to-day office operations. This role manages front desk responsibilities, provides administrative support, and coordinates key office services to maintain efficient and professional workplace experience for associates, executives, and visitors. The position requires excellent communication, organizational, and multitasking skills, balancing front desk service with administrative coordination to support HQ operations. Duties/Responsibilities (for Main and Annex buildings) Front Desk & Visitor Management Greet and direct all visitors, clients, and associates in a courteous and professional manner. Manage front desk phone system, respond to inquiries, and route calls appropriately. Oversee visitor check-in procedures, security badge distribution, and building access protocols. Office Operations & Coordination Maintain appearance and organization of reception, lobby, and shared office areas. Monitor conference room schedules and assist with meeting set-up as needed. Coordinate office supplies, mail distribution, and shipping/receiving functions. Support office services such as janitorial, vending, and catering coordination. Support Café’ and Catering administration Administrative Support Provide administrative assistance to corporate staff and leadership as assigned. Support scheduling, event planning, and employee engagement activities at HQ. Draft communications, maintain office directories, and update internal resources. Administrator for enterprise programs, i.e. FedEx, Iron Mountain and Staples Facilities & Vendor Support Serve as liaison with Facilities team for office maintenance and service requests. Assist with vendor coordination for cleaning, landscaping, and office support services. Escalate building issues or service disruptions to Facilities Manager III. Service as Safety Coordinator for building and first aid procedures, training, and drills Communication & Culture Act as a central point of contact for HQ associates regarding office processes. Promote a positive and professional work environment that reflects Asbury’s values. Support onboarding and orientation of new HQ associates by coordinating workspace readiness and welcome procedures. Schedule Full-time, based on site at HQ corporate office. Normal business hours with occasional support for after-hours events or meetings. Performs other related duties to benefit the mission/vision of the organization.

Requirements

  • 3–5 years of experience in administrative, front desk, or office coordination role in a corporate or professional services environment.
  • Strong communication, interpersonal, and organizational skills.
  • Proficiency with Microsoft Office Suite and office systems (phones, scheduling, etc.).
  • Ability to multitask and manage competing priorities with professionalism.

Nice To Haves

  • Experience supporting vendor coordination or facilities functions preferred.
  • Bachelor’s degree preferred but not required.
