Responsibilities

  • Greet and welcome on-site guests, determine the nature of their visit, and direct them to the appropriate personnel.
  • Serve as the first point of contact for in-person, phone, and email inquiries.
  • Answer incoming telephone calls, screen the purpose of each request, forward calls to the appropriate personnel or department, or take and deliver messages when staff are unavailable.
  • Maintain photo reports to identify units that are missing or require updated photos.
  • Capture photos on and off dealership premises as needed.
  • Edit and upload photos to the dealership website in a timely and accurate manner.
  • Maintain awareness of staff movements in and out of the organization to ensure accurate communication and guest direction.
  • Ensure the main voicemail reflects office closures, special events, and business hours.
  • Post office closed signage as needed and provide callers with general information, directions, or answers to common questions.
  • Perform clerical duties including filing, copying, faxing, organizing, and maintaining files.
  • Provide administrative support to department heads, including calendar management, meeting coordination, and internal communications.
  • Assist the sales and finance teams with organizing paperwork, deal files, and general documentation.
  • Maintain and update the rotation board and greeter logs.
  • Collect, organize, and reconcile previous business day sales and greeter logs.
  • Complete next-day customer delivery confirmation calls and assist with customer delivery orientation support as needed.
  • Coordinate dealership-wide scheduling, events, and cross-departmental communication.
  • Receive, sort, and distribute mail to the appropriate personnel, including the Office Manager.
  • Manage office supplies, vendor relationships, and general facility support tasks.
  • Assist with onboarding preparation and support internal reporting or tracking tasks as assigned.
  • Maintain a clean, professional, and organized front desk and customer-facing area.
  • Perform duties with minimal supervision and support administrative and special projects as assigned.
