This position involves managing a wide range of administrative functions crucial to the department's operations. Key responsibilities include supervising daily administrative tasks such as patient scheduling, registration, and insurance authorization, ensuring that these tasks are performed efficiently and in compliance with internal standards and external regulations. The role also involves providing thorough training and orientation to administrative staff, monitoring their performance, and handling HR-related activities like performance evaluations, hiring, and disciplinary actions. This role provides administrative assistance to the division, and it's Director. Additionally, the position includes developing and implementing policies and procedures to improve administrative efficiency, managing office spaces, and serving as a liaison for administrative staff in resolving escalated issues. The role requires strong supervisory, organizational, and interpersonal skills, along with a deep understanding of the department's processes and operational requirements. Working closely with the O&P Division Director, this role helps to expand administrative operations of the O&P Center across the UCSF Health System and serves as a key member of the O&P Executive Leadership Team.

  • Serving as a key member of the O&P Executive Leadership Team
  • Bachelor's degree in related area and / or equivalent experience / training
  • Nine (9) or more years of related work experience
  • Two (2) or more years of leadership experience
  • Demonstrated supervisory and organizational skills to effectively supervise staff and to manage the complex workflow and multiple priorities involved with clinic / center administration
  • Strong knowledge of practice operations, patient-scheduling systems, medical and insurance terminology, billing systems, applicable information systems, patient service standards/patient care workflows, and regulatory requirement and best practices
  • Detail oriented, with the ability to apply analytical and critical thinking skills to quickly analyze problems, determine appropriate level of intervention, and apply effective solutions
  • Proven ability to organize, manage multiple priorities, and delegate work functions efficiently
  • Strong interpersonal skills for effective collaborations with all levels of management and staff, consultants, and outside agencies
  • Strong written and verbal communications skills, with the ability to train and mentor subordinates, to convey complex administrative and clinical information in a clear and concise manner, and to prepare and present a variety of and to produce a variety of documents, reports, and analyses
  • Ability to work well with staff, patients, providers, and clinicians in a complex environment
  • Ability to work with a high degree of independence, exercising good judgment and decision-making skills
  • Strong knowledge of human resources management policies, with the ability to train, monitor, evaluate, and document human resources issues and performance, and to provide input to decision-making on human resources matters
  • Knowledge of orthotics and prosthetics industry
  • Ample experience and a strong grasp of bargaining issues/employee and labor relations
