About The Position

Coldwell Banker Realty Hawaii is seeking an Administrative Manager. The Administrative Manager oversees the general administration and operations of our real estate sales office, supporting the Branch Manager and ensuring smooth front-end and back-end operations. This role is crucial for the office's growth and success. Candidates should be proactive, organized, and adept at multitasking. Prior real estate experience is a plus but not required. Please note: This role is 100% in-office in our Windward office location in Kailua, HI.

Requirements

  • Minimum of 3 years of office management/supervisory experience in a customer-centric business preferred.
  • Understanding of the real estate industry and its sales process preferred.
  • Excellent customer service, problem-solving, and communication skills.
  • Ability to multitask, prioritize, and adapt in a fast-paced environment.
  • Strong organizational and time management skills.
  • Attention to detail and ability to handle confidential information.
  • Proficiency in Microsoft Office and knowledge of social media and real estate software preferred.
  • This is an onsite position in the Branch Office.

Responsibilities

  • Staff Management: Interview, hire, train, and manage Branch Office Staff. Prepare schedules, approve timecards, and conduct performance reviews.
  • Transaction Management: Oversee administrative aspects of real estate transactions, ensuring all documents are complete and records are up-to-date.
  • Agent Support: Assist with agent recruiting, onboarding, and training on CB tools and systems. Educate agents on office equipment and procedures.
  • Office Management: Organize office events, manage social media, oversee office supplies and maintenance, and handle accounts payables and receivables.
  • Licensing: Monitor and coordinate timely renewals of real estate licenses.
  • Company Initiatives: Coordinate training on new tools, communicate changes, and assist agents with their web profiles and marketing tools.
  • Technology: Maintain proficiency in office technology, troubleshoot issues, and provide training.
