About The Position

POSITION SUMMARY: Under the general direction of the Vice President, Director, ACMO, and ACNO of Surgical Services is responsible for reviewing, analyzing, and evaluating various clinical and financial data. Coordinates the design and implementation of quality improvement and revenue-enhancing processes within the department. Also responsible for developing, implementing, and managing a marketing program for the department. Position: Administrative Manager (Operating Rooms/IPP) Department: OR Service Lines Schedule: Full Time Job location: Boston, MA, Hybrid ESSENTIAL RESPONSIBILITIES / DUTIES: Surgical Services Defines, develops and implements short- and long-term strategies and plans to meet organizational objectives with direction and support from the Director. Analyzes current operations to identify opportunities for improvement, develop project plans and teams to implement improvements. Runs cross-functional initiatives to ensure key hospital goals and surgical departmental goals and objectives are met. Performance Optimization: Develop and implement performance improvement initiatives to optimize surgical services. Regularly assess and analyze surgical outcomes, resource utilization, surgeon and patient satisfaction to identify areas for improvement. Collaborate with surgeons and surgical teams to streamline processes and enhance performance. Data Analysis: Utilize data analytics and key performance indicators (KPIs) to monitor and evaluate surgical services' performance. Identify trends and opportunities for process improvement. Assists in preparation of performance reports to OR Executive Committee Primary collaborator with OR healthcare predictive analytics vendor to ensure a successful partnership and the efficient operation of the perioperative department. Works collaboratively with a variety of hospital managers, nurse management personnel, physician leaders, medical staff, professional staff and multi-disciplinary groups to accomplish hospital goals and objectives. Develops and maintains good communication and relationships within service departments. Works with stakeholders from across the organization to develop and implement programmatic business plans, administrative policies and procedures. Resource Management: Assists Director in OR block time and all surgical services, including finding OR time for block requests for both new and existing surgeons. Regularly evaluate the utilization and performance of OR block time for each surgical line or specialty. Analyze historical data, case volume, on-time starts, turnaround times, and other relevant metrics regularly to determine were OR blocks need to be re-allocated. Develop standards and protocols for addressing patient complaints including measuring and tracking resolution in a timely manner Collaboration: Collaborate with physicians, nursing staff, and other departments to ensure a coordinated approach to surgical services. Work closely with the Director of Procedural Services, Vice President of Surgical Services, Associate Chief Medical Officer of Surgical Services, Associate Chief Nursing Officer of Surgical Services, Director of Central Processing, and other executives to align surgical services with organizational goals. Facilitate and assists on OR Executive Committee and IPP Council by prepping agenda and slide decks and ensure that these meetings run smoothly, decisions are made efficiently, and that leadership sets a positive example for the surgical services Manage IPP Workgroups by charging project teams by holding all invested parties accountable for the growth and progression of projects and setting goals, monitoring progress, and ensuring that everyone is working together effectively to achieve the desired outcomes. Project Management: Assists Director in coordinating, planning, and executing projects within the surgical services department. This position requires a detail-oriented, organized, and collaborative professional to ensure the successful implementation of projects that improve OR efficiency, patient care, and resource utilization. Assists Director in operational, financial, strategic, and volume fiscal year goals as set by the OR Executive committee. Plays an independent and critical role in initiatives and projects including but not limited to FCOTS, HPTs, Same Day Cancelations, Turnover Times, PACU utilization and holds, anesthesia support, space planning, etc. Works closely with surgical teams, administrative staff, and other relevant parties to drive these initiatives, improving the quality and effectiveness of surgical services while ensuring a seamless and patient-centered experience. General: Promotes department/program and hospital’s mission,, by including the following: Conforms to hospital standards of performance and conduct, including those pertaining to patient rights, so that the best possible customer service and patient care may be provided. Utilizes hospital’s behavioral standards as the basis for decision making and to support the department’s and the hospital’s goals. Follows established hospital infection control and safety procedures. Performs other duties as needed.

Requirements

  • Requires a Bachelor's Degree in Business Administration or related scientific field.
  • Requires at least two years of Healthcare Administration experience or equivalent.
  • Work requires a significant level of analytical ability to develop and analyze budgets and to develop related justification.
  • Demonstrated success in program management, personnel management, planning, finances
  • Excellent written and verbal communication skills; excellent interpersonal skills
  • Excellent leadership attributes including positive, can-do attitude, creativity, and enthusiasm.
  • Exceptional level of professionalism, discretion and the ability to work on highly sensitive and confidential projects.
  • Highly developed skills using personal computer tools including word processing, spreadsheet, databases and presentation applications.

Nice To Haves

  • Master's degree in Health or Business Administration is preferable.
  • Five years work experience in a large matrixed organization preferred.
  • Experience with data analysis, data interpretation, and analyzing/identifying trends and opportunities for performance improvement is preferred
