About The Position

Responsible for supporting the CEO and other senior executives as needed in executing various administrative functions across the company. Exercise independent judgement in the resolution of administrative issues/problems. Prioritize and manage multiple projects simultaneously with little or no supervision.

Requirements

  • 4+ years of strong administrative experience required.
  • Excellent computer skills: Excel, Word, PowerPoint, Outlook, Adobe Acrobat Professional and the interest/ability to learn new applications.
  • Attention to detail, with strong organizational and planning skills.
  • Work well in a team environment.
  • Experience dealing with sensitive and confidential issues.
  • High level of flexibility and adaptability.
  • Must have professional demeanor.
  • Excellent organizational skills, verbal and written communications skills (including proofreading and grammar), and interpersonal skills.
  • Must be a self-motivated team player with the ability to work in a customer-oriented, very fast-paced, and demanding environment.
  • Ability to bring projects to completion with minimal supervision.
  • Must be able to meet or exceed set project milestones and deadlines, which will entail extra work time as needed (work hours beyond a normal work week).

Responsibilities

  • Assist the CEO and senior executives in keeping teams informed of all pertinent company and department information.
  • Manage internal communications and coordination: schedule meetings, conference calls and various appointments, updating executives and other calendars as needed.
  • Prepare, coordinate, and distribute internal/external business correspondence and operational reports.
  • Plan and coordinate company events and travel arrangements.
  • Organize and maintain company files and references, including confidential files.
  • Develop, implement, and monitor clerical procedures and controls.
  • Assist in the hiring and recruiting process, e.g. posting jobs, scheduling interviews, etc.
  • Assist with benefits administration, HR compliance, and employee inquiries in coordination with HR or external vendors.
  • Assist in purchases made for the company, e.g. equipment, software, office supplies, etc.
  • Office management (shipping-receiving material, decisions relating to facility, vendor and supply management).
  • Complete special projects, tasks, and research as requested.
  • Exercise administrative judgement; assuming responsibility for decisions, consequences and results impacting associates.
