About The Position

Westchester Jewish Community Services (WJCS), a nonprofit founded in 1943, has grown to be the largest provider of licensed outpatient community mental health services and one of the largest human service agencies in Westchester County. We provide state-of-the-art programs and services and compassionate care to more than 20,000 people of all ages and backgrounds each year. We are currently seeking an Administrative Coordinator to join our Children, Youth, and Family (CYF) team. This role plays a key part in supporting both programmatic and administrative operations, ensuring smooth day-to-day functioning of CYF services. The salary for this full-time position is $55,000.

Requirements

  • Associate’s or Bachelor’s degree preferred; relevant administrative or social services experience required.
  • Must be able to travel to sites as needed.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and database management.
  • Ability to work independently, collaboratively, and maintain confidentiality

Responsibilities

  • Ensure all program documentation complies with organizational policies and funding guidelines.
  • Maintain databases and tracking systems for program data, participant information, and funding requirements.
  • Assist in preparing progress reports, grant applications, and evaluation summaries.
  • Prepare and organize materials for meetings, presentations, and strategic planning sessions.
  • Maintain accurate tracking of staff hours, time off, and resource allocation for the team.
  • Assist with participant intake, registration, and record-keeping.
  • Coordinate logistics for community events, youth activities, family nights, and workshops.
  • Handle routine correspondence with families, community partners, volunteers, and staff.
  • Support the development and dissemination of program flyers, newsletters, and outreach materials.
