About The Position

The Windreich Department of Artificial Intelligence and Human Health (AIHH) at the Icahn School of Medicine at Mount Sinai leads a pioneering collaboration with the Charles Bronfman Institute for Personalized Medicine (CBIPM) and the Hasso Plattner Institute for Digital Health (HPIMS) to transform the future of health care. Together, these three entities form a unified ecosystem that integrates advanced AI-driven diagnostics, large-scale clinical research, and cutting-edge digital innovation to accelerate scientific discovery and deliver meaningful improvements in patient care and health systems worldwide. The Administrative Coordinator will provide high-level administrative, operational, and organizational support to the Chair and Vice Chair within the Windreich Department of Artificial Intelligence and Human Health (AIHH). This role is critical to ensuring the efficient functioning of departmental leadership, complex academic initiatives, and cross-institutional collaborations spanning AI research, clinical innovation, and population health. Reporting to the Chief of Staff, the Administrative Coordinator will serve as a trusted partner to leadership, exercising discretion, sound judgment, and pro-active problem solving in a fast-paced academic medical environment.

Requirements

  • Bachelors Degree or equivalent combination of applicable 5 years related administrative or business experience required.
  • Some supervisory experience preferred.

Responsibilities

  • Provide comprehensive administrative support to department leadership, including complex calendar management, meeting coordination, and travel arrangements
  • Serve as a primary point of contact for internal and external stakeholders, managing communications and ensuring timely follow-up
  • Prepare, review, and organize briefing materials, presentations, reports, and correspondence for leadership meetings and events
  • Assist in coordinating departmental meetings, seminars, and events, including agenda development, logistics, note-taking, and action-item tracking
  • Maintain organized records, files, and documentation related to departmental activities, leadership priorities, and institutional initiatives
  • Assist with onboarding and coordination for new faculty, staff, collaborators, and visiting scholars as needed
  • Exercise sound judgment in prioritizing requests and escalating issues appropriately to leadership
  • Establish effective working relationships across AIHH, CBIPM, HPIMS, and Mount Sinai Administrative Offices
  • Performs other related duties as assigned
