About The Position

Under the direction of the Controller & Director of Accounting, the Administrative Coordinator is responsible for broad overarching support for the Member Services, Facilities, Staff Resources and Finance Departments. This role supports the day-to-day responsibilities of USEF with administrative duties including, but not limited to, providing incoming/outgoing mail support, managing general office supplies, proofreading department communications, managing overall department schedules, supporting special projects and initiatives, front desk/reception coverage and the processing of invoices and payments.

Requirements

  • Organized and detail-oriented with a commitment to accuracy and confidentiality.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Positive attitude, reliability, and a proactive approach to problem-solving.
  • Proficient in the use of Microsoft Office applications (Excel, Word, Outlook, PowerPoint…)
  • A degree or minimum of two years of relevant experience is preferred.

Responsibilities

  • Support the USEF lobby/reception area
  • Sort, distribute, and manage all incoming/outgoing mail and packages for the Federation.
  • Assist in preparing bulk mailings, including awards, promotional materials, tax documents or other official correspondence.
  • Monitor inventory levels of general office supplies, consumables and equipment.
  • Proactively order supplies, tracking expenses and maintaining vendor relationships.
  • Assist with the processing of member payments and invoicing.
  • Assist in the preparation of presentations, reports, spreadsheets, and other project-related documents.
  • Support special projects, events, or other ad-hoc duties as assigned.
  • Ensure compliance with USEF policies and procedures.
