About The Position

Under the direction of the Executive Committee, the Administrative Coordinator performs leadership functions as set forth by the County Board while acting as a professional liaison to carryout Shawano County objectives. This position will work collaboratively with Department Heads, Elected Officials, outside organizations, County Board Supervisors and the Public to ensure communication is carried out in a professional manner to all parties involved in the decision-making process as set forth by rules, policies, and statues accordingly. The Administrative Coordinator will be essential in creating a positive, unified, fiscally stable organization.

Requirements

  • Bachelor's Degree in Business Management, Public Administration, Government, or another related field.
  • A minimum of at least four (4) years of experience in personnel management, financial management, supervision and/or administration.

Responsibilities

  • Prepares Administrative Coordinator notes on all resolutions presented or placed before the County Board.
  • Prepares and presents monthly activity reports to the Executive Committee.
  • Prepares and presents Administration Department’s Annual Report.
  • Research, recommend, and collaborate with Department Heads regarding grants and alternative funding sources in accordance with Financial Policy.
  • Administers the County property and liability insurance programs. Ensures that appropriate types and levels of insurance are in place based upon the County’s assets and operations and that all claims are processed and referrals and recommendations are made. Prepares all bid information related to insurance programs.
  • Works with insurance carriers to utilize training programs to reduce risk. Develop similar programs for the County.
  • Accountable to ensure that all revised policies, programs, orders, ordinances, resolutions and regulations of the County Board follow appropriate approval and implementation process according to State statutes, Shawano County Board Rules and/or Financial Policy.
  • Facilitates coordination of information between County Board and various County Board Home Committees and Departments.
  • Coordinates monthly staff meetings with department heads which create a positive, professional, and educational environment and bring collaboration to meet and exceed County initiatives.
  • May represent the County at public functions and inter-governmental meetings to build and foster good working relationships.
  • Attends all meetings of the County Board, Home Committees, and others as assigned.
  • Consistently a strong leader and liaison between the County and all outside organizations.
  • Maintains and ensures the County’s best interests in all matters.
  • Along with the Finance Director, meets with the Executive Committee and Department Heads early each fiscal year to establish County priorities in the preparation of the annual budget.
  • Along with the Finance Director communicates annual budget expectations with Department Heads and attends appropriate committee meetings to review.
  • Collaborates with Finance Director, Department Heads, and Home Committees to ensure budgetary decisions are made in the best interest of the County; while observing levy implications, long range goals, and other fiscal initiatives.
  • Along with the Finance Director assists Executive Committee and County Board in its review of the annual budget.
  • Along with Human Resource Director coordinates the Safety Committee to create and maintain key safety initiatives to benefit all aspects of the County
  • Works in conjunction with Finance Director to develop long-range fiscal programs including any potential bonding projects for the County and communicates with appropriate Home Committee, Department Head, and County Board.
  • Collaborates with the Finance Director to ensure necessary financial policies, procedures and controls are in place.
  • In conjunction with Corporation Counsel, assists in the negotiation, execution and administration of contracts and leases on behalf of the County to ensure objectives meet long range planning initiatives.
  • Collaborates with the Facilities Management Director and Public Property Committee to develop long-range plans for County properties.
  • In conjunction with Corporation Counsel, negotiates all intergovernmental contracts on behalf of the County within policy parameters established by the County Board.
  • Actively involved in initiatives or projects as assigned or requested.
