About The Position

Northern Ohio Recovery Association (NORA), a nonprofit organization dedicated to promoting long-term recovery and wellness through peer-based support and evidence-based services, is seeking a highly organized and proactive Administrative Coordinator. This role serves as a central coordination point between executive leadership, intake services, and front desk operations. The Administrative Coordinator ensures smooth communication, efficient intake flow, and professional front office support while assisting C-suite leadership with scheduling, coordination, and administrative priorities. This position is expected to model professionalism, recovery principles, and prosocial behavior in all interactions.

Requirements

  • Must be at least 21 years old.
  • High school diploma or equivalent.
  • Ability to maintain a safe driving record and comply with all driving and safety requirements.
  • Strong interpersonal skills and client-focused professionalism.
  • Ability to perform routine vehicle inspections and basic maintenance tasks.

Nice To Haves

  • Previous experience as a driver, transportation aide, or similar role.
  • Basic mechanical aptitude or familiarity with routine vehicle care.
  • Strong documentation and recordkeeping skills.
  • Ability to work independently while maintaining timely communication.
  • Experience working within behavioral health or human services settings.

Responsibilities

  • Provide direct administrative support to C-suite leadership, including calendar management, meeting coordination, and follow-up tracking
  • Prepare meeting materials, agendas, and assist with internal communications
  • Coordinate cross-department communication to ensure alignment on priorities and initiatives
  • Track action items and support leadership in maintaining accountability across teams
  • Support and coordinate intake processes, ensuring timely response to inquiries and referrals
  • Serve as a liaison between intake staff, program teams, and leadership
  • Track intake flow, pending admissions, and follow-ups to ensure no gaps in service access
  • Assist in maintaining organized intake documentation and communication logs
  • Serve as primary or backup front desk support as needed
  • Greet clients, visitors, and partners in a professional and welcoming manner
  • Answer and route incoming calls; manage voicemail and general inquiries
  • Ensure a positive, respectful, and recovery-oriented environment at the front office
  • Act as a central point of communication between departments, ensuring timely information flow
  • Assist in coordinating schedules, meetings, and program-related activities
  • Support internal communication efforts to improve efficiency and reduce gaps
  • Maintain organization and readiness of front office and shared spaces
  • Coordinate mail, deliveries, and basic office logistics
  • Monitor and maintain office supplies as needed
  • Maintain confidentiality of client and organizational information
  • Ensure accurate and timely documentation of intake and administrative processes
  • Support adherence to organizational policies and procedures
  • Perform other duties as assigned to support organizational capacity and mission delivery.
