The Opportunity : The Administrative Coordinator II serves as a key partner to the Associate Vice President for UCF Global, providing high‑level executive and project support. Working independently, this role leads and coordinates projects that advance UCF Global’s mission while collaborating with senior leadership and engaging professionally with internal and external stakeholders. The Coordinator II will manage sensitive communications on behalf of the AVP, prepare and refine reports and presentations, and handle a variety of administrative and project management responsibilities with accuracy, discretion, and minimal oversight. This role requires exceptional professionalism, sound judgment, and the ability to handle highly sensitive information with absolute discretion. The ideal candidate brings a trusted‑advisor mindset, confidently representing UCF Global and its senior leadership in meetings and daily interactions. Strong customer service skills are essential, ensuring clear, respectful, and timely support for students, staff, and external partners.

Requirements

  • Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6) .

Nice To Haves

  • 4+ years of relevant experience in a high-level administrative role, preferably within a higher education setting.
  • Proven experience supporting executive level, C-suite staff, including managing complex calendars, travel, and high-volume scheduling.
  • Experience serving as primary point of contact for executives, screening and prioritizing communications.
  • Advanced Excel skills for data analysis and present findings effectively to multifaceted audiences.
  • Experience with enterprise systems like Workday or PeopleSoft.
  • Proficiency in MS Office Suite, including Word, Excel, PowerPoint, Teams, and Outlook.
  • Strong written and oral communication skills, with the ability to interact professionally with internal and external stakeholders.
  • Above average customer services skills.
  • Strong organizational skills, capable of managing multiple tasks and projects.

Responsibilities

  • With a precise, strategic lens, edit and analyze data and other pertinent information as requested to assist in the preparation of information and reports for both internal and external meetings and events.
  • Prepare high-level professional reports and presentations as guided by the AVP. Determine materials required, evaluate quality, and compose communicative materials as required for varying stakeholders (internal and external).
  • Correspond with all participants on agenda and subject of meetings with materials for background.
  • Act as the main point of contact in setting priorities for the AVP relating to appointments, itinerary, communications, and travel arrangements.
  • Review, analyze, and revise highly sensitive drafts of correspondence for the AVP involving UCF Global administrative and policy decisions and other related policies and procedures.
  • Working independently, conduct research and compose regular, non-routine and sensitive, often confidential correspondence relative to projects, programs, and meetings.
  • Coordinate all logistical, protocol, and administrative arrangements for meetings and special events and ensures all necessary documents and materials to support the AVP are provided in advance of the meeting.
  • Ensure effective and appropriate access to the AVP and utilization of their time by managing and maintaining a complex calendar, keeping appointments, and meetings on time; arranging a variety of routine and non-routine meetings; and responding to invitations on behalf of the AVP.
  • Provide administrative support when needed for various work groups, projects, and committees that are periodically organized and needed for the AVP.
  • Act in a capacity as project manager, under the general guidance from the AVP, prioritize and allocate projects and inquiries to the appropriate stakeholders with UCF Global.
  • Perform other related duties as assigned.
