We are seeking a highly organized and adaptable Administrative Coordinator II to provide critical support to the Office of the Vice President for Research and related initiatives. The ideal candidate will demonstrate strong administrative experience, exceptional communication skills, and the ability to exercise sound judgment on matters of significance. In addition to a bachelor’s degree (or equivalent experience) and at least three years in office administration, preferred qualifications include event coordination expertise, outstanding customer service, and proficiency in calendar management. Success in this role requires advanced knowledge of office software, the ability to multitask in a fast-paced environment, and a professional, collaborative approach when engaging with stakeholders. Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Three years of experience in office administration.
  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Ability to multitask and work cooperatively with others.
  • Ability to effectively communicate both orally and in writing.
  • Ability to positively and professionally interact with clients and staff.
  • Excellent communication and presentation skills.
  • Strong interpersonal and organizational skills.
  • Ability to orally comprehend and express information and use inductive and deductive reasoning.

Responsibilities

  • Provides administrative support to the Office of the Vice President of Research (OVPR).
  • Provides front-office reception services, greeting visitors and guests, manages phone calls to the OVPR main line.
  • Coordinates and monitors OVPR guest parking spots.
  • Provides back-up support as needed for the Senior Administrative Coordinator/Executive Assistant to include VPR calendar support, document processing, travel arrangements and other projects as assigned.
  • Provides administrative support to Council of Principal Investigators (CPI) Coordinator. Includes communications with this community, meeting coordination, monthly newsletter coordination, updating/maintaining CPI website, monthly meeting summaries, and back-up to CPI Coordinator in facilitating in-person or Zoom meetings as required.
  • Under direction, provides event support to meetings, workshops, and office or division events.
  • Limited administrative support to Research Infrastructure team, which includes contract administration, billing, email activity, communications with Research Infrastructure AVPR and Research Infrastructure Manager.
  • As directed, processes work orders, supply orders, handles billing orders.
  • Maintains records.
  • Performs other duties as assigned.
