The Administrative Coordinator II position is responsible for providing administrative support and assisting with projects as assigned by the Chief of Staff for Academic Affairs. This position provides administrative support to senior leadership within the office as needed. This includes maintains high-level interaction within the campus community and assist with confidential and critical academic and/or administrative matters. Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Three years of work experience.
  • Demonstrated experience with word processing, spreadsheet, database and presentation applications (specifically Microsoft Office).
  • Demonstrated experience with maintaining records, data entry, and interpreting and preparing reports.
  • Ability to manage and effectively complete job assignments when subject to heavy workloads.
  • Ability to work with sensitive information and maintain confidentiality.

Nice To Haves

  • Experience in understanding compliance with procedures and policies.
  • Experience using data systems.

Responsibilities

  • Composes and prepares correspondence, memos, reports, promotional materials, spreadsheets, and presentations.
  • Serves as receptionist, schedules appointments, makes purchases, processes payments including travel reimbursements.
  • Makes and coordinates travel arrangements and prepares itineraries as requested.
  • Plans and coordinates meetings, workshops, conferences and other events. May provide onsite support at events.
  • Maintains records, office supplies, key control, and inventory of office equipment, and key.
  • Maintains an accurate faculty roster in the appropriate database.
  • Provides support to ensure faculty credentialing and updates are maintained and documented in the appropriate software system for accreditation compliance.
  • Maintains fiscal, administrative and academic records, including faculty and staff contact information.
  • Assist with tracking department expenditures and account balances.
  • Maintains fiscal, administrative and academic records including sensitive and confidential information. (i.e. faculty appointment letters, probationary reviews, and promotions.
  • Assist academic departments with completion of forms required by Human Resources in the hiring process.
  • Provides overview and approval of the faculty credentialing forms for the hiring of new faculty. Seeks guidance as appropriate from the IE director.
  • Participates in the review process for IE Results and Plans.
  • Recommends improvements to administrative processes within IE and IR units.
  • Responsible for the transfer of faculty files (including faculty adjuncts) to the appropriate database which serves as a source for the faculty roster including the faculty credentialing inventory forms.
  • Other duties as assigned.
