About The Position

The Administrative Coordinator I provides administrative support for a unit or specialized activity to include the exercise of discretion and independent judgement with respect to matters of significance. Provides administrative support to the Residency Program Director with duties essential to maintaining the Residency Program including the planning and organizing of annual events, recruiting, scheduling, website maintenance, residency databases/programs, answering phone. Serves as the liaison between guests to the Residency Program and Physicians.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience in office administration

  • Experience with graduate medical education programs.

Responsibilities

  • Office Management Participates in the planning and execution of administrative operations
  • Researches and responds to inquiries (via email and in-person).
  • Provides technical information regarding administrative procedures, services, or programs.
  • Coordinate resident recruiting under the direction of the Program Coordinator (i.e. ordering lunches, interview space setup, recruitment materials).
  • Manage meeting spaces and reservations at Family Medicine Residency (i.e. Astra).
  • Schedule and maintain medical student Acting Internship, PoM3, and Internal Medicine student rotation schedules.
  • Schedule iPad reviews between preceptor and resident.
  • Sort and distribute mail received daily.
  • Coordinate all incoming and outgoing packages.
  • Administrative Support: Welcome guests to the office.
  • Answer and direct incoming calls.
  • Coordinates the organization of office records, file retention and maintains reference materials.
  • New Innovations - enter faculty schedules
  • Assist with planning and organizing annual events under the direction of the Program Coordinator (i.e. graduation, white coat ceremony, resident retreats).
  • Allocate Texas A&M Residency procurement and travel cards (Emburse).
