About The Position

Works under general supervision and provides highly advanced administrative support for the Office of the Provost and the Office of Research and Sponsored Programs. Responsibilities include coordinating daily office operations, supporting complex workflows, maintaining confidential academic and fiscal records, and ensuring adherence to Texas A&M University–San Antonio and TAMUS policies and procedures. Hourly rate: $18.75

Requirements

  • Bachelor's degree or equivalent combination of education and experience.
  • Two (2) years of related experience.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Ability to multitask and work cooperatively with others.
  • Excellent written communication, analytical, interpersonal, and organizational skills.
  • Ability to work in a high-stress environment.
  • Ability to work with sensitive information and maintain confidentiality.
  • Ability to work independently once given a project
  • Work beyond normal office hours and/or work on weekends.

Nice To Haves

  • Background in administrative support within Academic Affairs and familiarity with Research and Sponsored Programs.
  • Experience working with Banner, Workday, and FAMIS/Canopy systems.

Responsibilities

  • Coordinates daily office support activities and administrative interactions for the Office of the Provost and provides support to the Office of Research and Sponsored Programs.
  • Assists with daily workflow coordination and the resolution of complex, highly sensitive, and confidential matters.
  • Provides organizational planning and problem-solving support.
  • Researches and analyzes administrative requirements for programs or projects.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Responds to inquiries and interprets rules, regulations, policies, and procedures.
  • Monitors compliance with policies and procedures as needed.
  • Maintains a variety of fiscal, administrative, and academic records; verifies, processes, and reviews forms, reports, tables, and documents.
  • Performs special analyses and prepares project summaries.
  • Coordinates travel arrangements and prepares itineraries.
  • Coordinates meetings, seminars, and special events.
  • Coordinates maintenance of files, records, office supplies, and equipment.
  • May train and supervise student workers.
