About The Position

Employees in this position provide general clerical functions in the Clerk of Courts Office in the Consolidated Court System. Employees are selected and supervised by the Clerk of Court or Supervising Deputy Clerk of Court, and work under moderate supervision once having gained experience on the job.

Requirements

  • Considerable knowledge of modern office methods and procedures and of business English and spelling.
  • Ability to operate general office equipment such as computer, copying machines, calculators, etc.
  • Ability to make simple computations either manually or by machine.
  • Ability to perform clerical operations; understand and carry out oral and written instructions of specific nature.
  • Ability to read, write, add and subtract.
  • Ability to deal the public and to establish good working relationships with associated agencies, County officials and other employees.
  • Ability to work with confidential records and keep confidentiality.
  • Ability to use independent judgment in carrying out assigned tasks.
  • Ability to input, access and retrieve data on a computerized system.
  • Ability to keep a variety of records.
  • Graduation from an accredited high school or GED, with training in business courses such as typing, bookkeeping and office practices.
  • Minimum of one year of general office experience.
  • Must be bondable for positions requiring handling of money.

Nice To Haves

  • Preference for advanced training and/or Associate Degree in clerical, legal secretary or computer functions.
  • Preference for individuals with experience as legal secretary.
  • Preference for experience using Consolidated Court Automation Programs (CCAP) e-filing system.
  • May consider other relevant combination of training and experience.

Responsibilities

  • Performs a variety of general clerical functions, including typing, filing, answering phone, photocopying, taking messages, courteously handling inquiries from the public, attorneys and other agencies and referring to appropriate personnel.
  • Accurately inputs/accesses/retrieves information on a computerized system.
  • Handles incoming and outgoing correspondence.
  • Conducts record searches for information, as requested.
  • Opens and distributes mail to appropriate staff.
  • Validates active warrants on a monthly basis.
  • Enters court dates into bond program to send reminders of court hearings.
  • Keeps confidentiality of work-related matters.
  • Follows instructions from office personnel and works cooperatively and courteously with other office personnel in completing all duties of the Office of the Clerk of Courts.
  • Prepares documents for scanning by removing staples, assembling pages; then scans documents and destroys them.
  • Waits on counter handling inquiries from the public in a courteous fashion.
  • Photocopies criminal/traffic files when requests are received.
  • Receives payments and fees and balances cash drawer.
  • Enters payments and related information in the CCAP court system database.
  • Checks monthly payments regarding fines.
  • Processes paperwork to suspend licenses and issues warrants as necessary.
  • Receipts bonds and fees, fines and forfeitures and runs end-of-day reports. Dockets information on computerized system which involves recording all legal documents and court minutes. Assists Account clerk, balances daily receipts. Checks monthly payments regarding fines.
  • Summons jurors through written communication, prepares questionnaires and juror lists, assists court during jury selection process.
  • In this public service position, employee is required to be courteous, cooperative and respectful at all times, with the public and clients. Also establishes and maintains a courteous, cooperative and respectful working relationship with other employees, supervisors and public officials.
  • Performs related work as required or directed.
  • Assists other staff as necessary and fills in for vacations as needs dictate.
