About The Position

Under the supervision of the WIC Director, the Administrative Clerk provides a variety of support functions to assure efficient delivery of services to WIC clients. Collects demographic and health information on intake for WIC participants. Performs measurements and hemoglobin tests, to maintain caseload by calling participants and making appointments. Maintains confidentiality of participant records. Must exemplify great of customer service at all times.

Requirements

  • High school degree or GED.
  • Demonstrated oral and written communication skills.
  • Customer service and time management skills.
  • Demonstrated ability to effectively work and communicate with diverse populations.
  • Demonstrated proficiency with business software (e.g. Microsoft Office Suite).

Nice To Haves

  • One year of experience working with indigent individuals in a community service type setting or service organization is preferred.

Responsibilities

  • Collects and records demographic, financial and health data, as required to determine eligibility of clients
  • Ensures confidentiality of WIC data and protects WIC information systems against unauthorized access.
  • Maintains partial access to the Service Site module within CARES (and future Management Information System).
  • Educates applicants regarding their rights and responsibilities, including food delivery system, WIC foods, certification schedule, and assists with individual and group education activities.
  • Performs and records height and weight measurements.
  • Performs and records biochemical measurements, such as hemoglobin or lead tests.
  • Assists with the reconciliation of monthly reports.
  • Issues WIC food checks and ID folders and records this information as required.
  • Assures that proper documentation of computer check issuance is maintained and that supplies and materials are properly secured.
  • Assures that proper documentation of voided checks, immunization records, demographic information, appointments, education, and all other required documentation is appropriately recorded.
  • Maintains WIC certification and related files, checks and ID inventories, and other materials to ensure accountability.
  • Greets and receives new applicants, answers telephone and gives appointments and information to applicants for WIC. Maximize compliance for eligibility, certification, and check pick-up by conducting follow up.
  • Prepares and issues various notices to clients regarding eligibility, certification, check pick-up, and program violation, among others.
  • Assists with the coordination of WIC services, including breastfeeding promotion and support, making referrals as warranted and helping with outreach activities.
  • Assists in resolving routine problems presented by participants and in correcting and resolving certification and caseload management reports.
  • Proactively acts to resolve routine problems that arise regarding the CARES (or MIS) system.
  • Performs secondary nutrition education in accordance with WIC policies and in a manner that is satisfactory as set forth by the WIC Director.
  • Performs anthropometrics appropriately and maintain a passing grade on trainings given.
  • Maintains passing grades on any training post-tests and observations done by the WIC Director and Nutrition Coordinator.
  • Demonstrates proficiency using software such as the WIC MIS and Microsoft Office.
  • Complies with requirements set forth by the Management Evaluation results.
  • Complies at all times with WIC policies regarding all aspects of service delivery.
  • Attends and completes all WIC-related trainings as assigned by the WIC Director.
  • Other duties as assigned by supervisor.
  • Follows Local Agency guidelines concerning attendance, scheduling, meetings, holidays, sick days, emergencies, etc.
  • Follows all site rules and performs work duties as designated, individually or part of a team.
  • Attends mandatory staff trainings for Unity and for the DC WIC State Agency.
  • Uses office equipment for work related purposes only.
  • Respects each client by keeping their information strictly confidential.
