About The Position

Administrative Clerk will support and provide a full range of clerical assignments for the Generations Southeast Community Learning Center.

Requirements

  • Ability to understand and follow written and verbal directions.
  • Capable of working with minimal supervision.
  • Physically able to push and lift heavy materials.
  • Proficient in writing reports using a computer.
  • Professional and personable when interacting with the public, staff, instructors, and students.
  • Must maintain a professional appearance as required.
  • Familiarity with Tlingit, Haida, and Tsimshian cultures.
  • High School Diploma or GED
  • One (1) year of experience (paid or volunteer) performing duties related to office or clerical support.
  • Must be 21 years of age with a Valid Driver’s License.

Responsibilities

  • Provide a full range of reception services, including answering phones, greeting the public, mailing program information, and making referrals.
  • Handle incoming and outgoing mail, including receiving, opening, date stamping, and distributing materials.
  • Update and maintain records such as contact information, schedules, attendance, numerical logs, ledgers, and client files.
  • Photocopy, collate, assemble, and distribute materials.
  • Prepare reports and correspondence using word processing, spreadsheets, and other business software.
  • Review and verify documents, forms, and applications for completeness and accuracy.
  • Follow up to ensure applications include all necessary data and supporting documents.
  • Perform complex data entry tasks, ensuring accuracy and correcting errors as needed.
  • Gather and record statistical data for reporting purposes.
  • Provide assistance and support for room rentals, including computer and multimedia setup (PA system, audio/video, wireless internet, teleconferencing).
  • Prepare and assemble large mail-outs of program materials.
  • Assist clients and co-workers by explaining processes, forms, procedures, and program requirements.
  • Monitor and maintain office supplies and materials.
  • Help maintain the program database.
  • Assist in scheduling and setting up meetings in local communities as needed.
  • Support special projects as assigned.
  • Perform other duties as required.
