The centers provide campus-based direct services and supports at 13 centers located throughout the state. The Administrative Assistant (AA) is responsible for organizing and supervising all the administrative functions that facilitate the timeliness/ accuracy of activities and deadlines in providing support to the Quality Assurance\Improvement staff as needed. The AA must have the necessary leadership skills to work effectively with management, staff, individuals, donors and volunteers. Within established parameters, perform repetitive clerical and administrative tasks related to the Quality Assurance Team meetings. Maintains tracking system to assure recommendations of the Quality Assurance Team are implemented within established timeframes. Maintains evidence file of Quality Assurance Team meetings.

Requirements

  • Knowledge of computers, word processing, spreadsheets, and databases.
  • Strong calendaring, organizational and document management skills.
  • Proficient in Microsoft Office Suite: Outlook, Word, Excel.
  • Skill in having excellent communication skills, including writing, speaking, editing and proofreading with great attention to detail.
  • Ability to work as a team and independently to schedule and manage time including establishing and maintaining effective professional working relationships, internally and externally.
  • Ability to organize both routine and complex tasks, set priorities, and seek additional guidance from supervisor when needed including following through to task completion.
  • Ability to accept and work with system changes and exercise reasonable judgment.
  • Ability to maintain confidentiality.
  • Ability to manage competing priorities and to work under pressure with frequent interruptions.
  • Ability to meet reporting deadlines.
  • High School Degree or GED.
  • One year’s experience in comparable duties to an Administrative Assistant.
  • Experience in Microsoft Office Suite: Outlook, Word, Excel.

Responsibilities

  • Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.
  • Opens, dates, sorts, or distributes mail (for example, incoming/outgoing mail, reports, documents, printouts). Prepares and proofread correspondence, forms, or other documents (for example, letters, memos, travel or purchase vouchers, job announcements using a personal computer).
  • Answers telephones, refers callers to appropriate staff, takes messages, and answers basic questions Communicate on an intermediate level with others (internally or externally) to provide, exchange, or verify information.
  • Provides intermediate level technical assistance to others (for example, direct service employees, clerical staff, and lower-level managers) on policies, procedures, rules, regulations, standards, or requirements.
  • Maintains records, files, or logs (for example, administrative, personnel, correspondence, forms, documents, purchasing, case files, tracking logs, including filing, retrieving, or purging.
  • Prepares moderately complex ongoing or special narrative or statistical reports.
  • Maintains a harmonious working relationship with DSSLC staff, individuals, donors and volunteers.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
