The Administrative Assistant I works a Monday to Friday, 8:00 AM to 5:00 PM schedule, in Food Service Central Office. The Administrative I perform entry-level office clerical functions and/or technical program work. Works under supervision of the Director of Food and Nutrition Services with limited latitude for the use of initiative and independent judgment. Areas of work include data entry, filing, answering the telephone, and supply support to copy requests, ordering supplies from MIMS, CAPPS Fin for business and administrative through requisitions and other systems as needed. Must be able to learn and apply agency rules, regulations, and institutional and department policies in his/her job. Must understand that duties, location of job assignment, & shift pattern are subject to change as determined by the administration to meet the needs of the hospital. Performs other duties as assigned. Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location. Must understand that duties, location of work, and shift pattern are subject to change as determined by the administration to meet the needs of the hospital. Must understand that the duties may include exposure to blood and other potential infectious material.

Requirements

  • General knowledge of dietary and nutritional terminology.
  • General knowledge of office procedures, accurate filing, computer use, and computer programs used at Rusk State Hospital, including but not limited to Microsoft Office, Word, Excel, and Access.
  • Basic knowledge of math, including addition, subtraction, multiplication, division, and percentages.
  • General knowledge of state purchasing policies and procedures
  • Ability to organize work efficiency, complete work in a timely manner, and work within hospital policies and procedures.
  • Knowledge of general office practices and procedures
  • Knowledge of proper telephone etiquette
  • At least one (1) year of experience in an administrative role.

Responsibilities

  • Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
  • Able to utilize computer skills to effectively complete job tasks.
  • Produces and proofs correspondence, reports, summaries, manuals, records and other related forms.
  • Maintains the department’s filing system.
  • This position includes, but is not limited to extended sitting, computer-based duties, extended typing, running errands to multiple campus locations and sorting/filing paper documents.
  • Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
