Position Overview The Administrative Assistant and Building Coordinator is responsible for providing administrative support to assigned management team member(s) and supports the daily operations at the Corporate University building. This individual will serve as the first point of contact for employees, guests and vendors entering the building and is responsible for providing an exceptional experience for those that visit. In addition, the Administrative Assistant and Building Coordinator will help assigned management team members with calendar management, expense reporting, preparing reports and similar administrative functions.

Requirements

  • A minimum of three (3) years' experience in a related administrative support positions normally required/additional education can be considered in place of experience.
  • A high school diploma or equivalent with an emphasis in business curriculum.
  • Proficiency with Microsoft Office products.
  • Strong interpersonal and communication skills with a customer service mindset.
  • Ability to multitask and respond effectively to changing priorities in a professional environment.
  • Strong organizational skills and attention to detail.
  • Above average written and verbal communication skills.
  • Proficient reading, writing, grammar, and mathematics skills; above average interpersonal relations, communicative skills, organizational skills and attention to detail; proficient with Microsoft Office Suite or similar software; knowledge of various office machines and equipment; a working knowledge of bank products and services, along with the operational policies and procedures that impact these products; judgement and decision making skills; ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less; visual, auditory and speaking skills; valid driver's license is required.
  • As a condition of employment, individuals must be authorized to work in the United States without sponsorship for a work visa by Mid Penn Bank currently or in the future.

Responsibilities

  • Provides administrative support to Human Resources leadership and staff.
  • Ensures the building's appearance, cleanliness, and functionality meet corporate standards each day.
  • Upholds the company's standards and values through attentive service and professional communication.
  • Maintains awareness of building systems (HVAC, lighting, security access, etc.) and reports issues to the appropriate department in a timely manner.
  • Coordinates with Facilities, Security, or other departments to address maintenance or cleaning issues promptly.
  • Demonstrates Unwavering Service Standards of Performance.
  • Serves as the first point of contact for those entering the building; provides a professional, welcoming presence for employees, guests, and vendors.
  • Greets visitors and directs them to proper personnel or location.
  • Answers telephone in a friendly and courteous manner; assists callers if possible or transfers calls to the proper individual or department; takes messages.
  • Handles confidential information with discretion and maintains a high level of professionalism in all interactions.
  • Supports adherence to safety, security, and access control procedures.
  • Assists with maintenance inspections and compliance documentation/notifications as needed.
  • Assists with calendar management, including scheduling and confirming meetings and appointments.
  • Proactively alerts manager of appointment times, schedule changes, and potential schedule conflicts.
  • Uses Microsoft Excel, Work, PowerPoint, and other software programs proficiently to assist with reports, communications, and presentation materials.
  • Organizes and submits expense reports.
  • Files and organizes documents, forms, reports, and other related information.
  • Makes travel and hotel arrangements as directed.
  • Ensures smooth coordination of on-site meetings and events.
  • Monitors and maintains inventory of hospitality and building supplies.
  • Addresses maintenance and cleaning issues promptly.
  • Sets up rooms for meetings or other events. Helps put rooms back in order after meetings or events so they are ready for next use.
  • Orders and coordinates food, beverages, and catering for meetings, training sessions, special events, or as directed.
  • Performs tasks, which are supportive in nature to the essential functions of the job, but which may be altered or re-designed depending upon individual circumstances.
  • Regular and predictable attendance is required.
