About The Position

The Administrative Associate will provide general administrative support to three corporate executives. This position works closely with business leaders to ensure smooth travel planning, calendar coordination, complex meeting planning and other administrative business processes. In this role you will foster strong relationships and trust with leaders, and key business partners across the organization. This work requires the use of independent judgment and the ability to coordinate Senior Leader activities, agenda, and business events. This role is based in Dublin, California, reporting to the Vice President of Store Operations.

Requirements

  • Bachelor's degree or equivalent combination of education and experience,
  • 2 years of previous experience as an Executive Assistant supporting C-level executives or senior management.
  • Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations.
  • Excellent organizational skills with the ability to handle multiple tasks with a sense of urgency, confidentiality, and discretion in dealing with sensitive and confidential information.
  • Demonstrated ability to calmly manage interruptions and changing priorities; complete assignments with or without established procedures; and be available and dependable.

Responsibilities

  • Provide direct support and anticipate needs proactively identifying opportunities to streamline processes and enhance efficiency within day-to-day business activities.
  • Utilize a strategic approach in coordinating and scheduling meetings, including preparing agendas for various departmental meetings; prepare and distribute minutes to appropriate personnel, on an as needed basis.
  • Manage calendars and complex schedules, prioritizing inquiries and requests while ensuring requests have a clearly defined purpose and time zone sensitivities considered.
  • Coordinate travel arrangements; create travel trip itineraries; arrange for transportation, lodging, and other needs while traveling.
  • Schedule, plan and organize all logistical details for office and off-site meetings, training, and events.
  • Act as a gatekeeper, screening and prioritizing incoming communications & meetings.
  • Maintain distribution lists, organization charts, phone lists, and birthday lists ensuring all are up to date.
  • React with appropriate urgency to requests/situations that require a quick turnaround and take effective action without having to know the whole picture.
  • Event organization and management of team on and off-sites and team building activities.
  • Additional duties as assigned
