About The Position

Are you ready to be the backbone of our dynamic team? As an Administrative Associate, you'll play a crucial role in ensuring our operations run smoothly and efficiently, anticipating needs and proactively solving problems. This role is supporting Global Physical Security at Vanguard. The team is responsible for protecting our workforce while at work, while traveling or while supporting Vanguard events. Here's what you'll be doing:

Requirements

  • Experience: At least 2 years of administrative or related experience, ideally in a medium to large organization.
  • Education: High school diploma or equivalent; an Associate degree or related degree is preferred.
  • Technical Skills: Proficiency with Microsoft Office products.
  • Organizational Skills: Strong ability to stay organized and manage multiple priorities.
  • Interpersonal Skills: Excellent ability to take direction, be adaptable, and collaborate positively with others.

Responsibilities

  • Calendar Management: Keep our department and leaders on track by scheduling meetings, organizing events, and tracking attendance.
  • Travel Coordination: Arrange travel plans and ensure refreshments are ordered when needed.
  • Procedure Adherence: Follow established guidelines with precision, with some opportunities to exercise independent judgment.
  • Office Supply Management: Monitor and order office supplies, keeping an eye on expenditures.
  • Document Preparation: Craft correspondence, reports, meeting minutes, presentations, and other written and visual materials.
